The Secretary position is located in the Department of Veteran Affairs (VA), Veterans Health Administration (VHA), Southeast Region, Veterans Integrated Service Network (VISN 7), Office of the Director for Clinical Resource Hub in Atlanta Georgia. The position serves as the Secretary (OA) for the Clinical Resource Hub. The incumbent is expected to provide general administrative support and to relieve administrative leadership and professional staff of clerical duties.
Duties
The major duties of the position include, but are not limited to:
Relieve the Clinical Resource Hub (CRH) administrative leadership and professional staff of clerical duties, including typing, taking, and transcribing dictated material. Picks up and distributes all CRH mail to the appropriate personnel. Maintains office supplies and services.
Establishing/maintaining filing system.
Coordinate planning for meetings, maintain appointment calendars; Help with travel arrangements for the CRH (makes airline, hotel, and car rental reservations). Attend and maintain appropriate training to become CRH contracting representative and Government Purchase Card holder.
Determines if all administrative actions have been taken, prior to presentation to Hub Administrator and Director for approval/signature. Prepares necessary personnel actions. Notifies supervisory personnel when performance appraisals or position descriptions are due for revision and/or update. Ensures Human Resources receives the completed forms.
Prioritizes daily work assignments and provides necessary assistance in the office.
Keep Hub Administrator and Director informed of appointments and/or activities to ensure continuity of administrative workflow.
Coordinate coverage for Hub Administrator and Director during staff absences and planned leave. Independently notifies appropriate staff of absences of CRH staff.
Facilitate workflows between CRH staff, leadership, and staff at other VISN 7 Medical Centers to accomplish goals of the program.
Responsible for learning and utilizing MS Outlook and other computerized programs.
Maintains all CRH folders and shared web sites and is responsible for giving access to appropriate personnel. Must have a strong knowledge of Microsoft Office programs such as Word, Excel, and PowerPoint to perform work assignments.
Manages CRH's Personnel database. Ensures database is kept current for purposes of retrieving names, Entry on Duty dates, units, grades, steps, discipline, and social security numbers.
Serves as unit timekeeper and assumes all the responsibility for that element of the position, ensuring posting is maintained daily and that timekeeping is accurate and timely. Inputs T&L data into VISTA computer system.
Reads all incoming correspondence for the signature of the Hub Administrator and Director; Compiling and preparing replies to general correspondence; Determine accuracy of format, grammar, and policy.
Preparing CRH memo(s) and preparing Agenda and committee minutes. (CRH Governance)
Assist Hub Administrator with preparation for Joint Commission Survey by locating and assembling information for various projects such as Chart Audit Process, Performance Improvement Projects, Surveillance, and Patient Satisfaction Surveys.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/18/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: coordinating and planning for meetings; maintaining calendars; prioritizing daily work assignments; facilitating workflows between staff and leadership; proficient in Microsoft Office programs; serving as timekeeper utilizing electronic processes ensuring accuracy. (This experience must be supported by your resume to be creditable.)

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of items such as papers, books, small parts; or driving an automobile, etc. At times, the position requires carrying supplies and equipment not to exceed 50 pounds.
