The Program Support Assistant for the Care in the Community Service focusing on administrative, clerical, and monitoring within the Care in the Community Service. The incumbent assists with all administrative aspects of the CITC Program operations, including information and management, performance improvement, and quality initiatives. The incumbent must have knowledge with use of Microsoft Excel and other data processing programs. This position is located at the Fort Wayne, Indiana Campus.
Duties
Serves as the CITC program administrator for the following CITC program/areas; CITC C-TOP folders, eOPF, staff education and compliance, TMS educational scheduling, tracking, and compliance, Engineering work order processing; Serves as CITC primary key requestor; Requests OIT work orders; and the CITC Service education coordinator. The incumbent maintains the CITC suspense system of recurring and nonrecurring reports and action items. The incumbent will work on developing and maintain the CITC continual readiness program and support the department when changes occur.
Develops reporting procedures, sampling techniques, and measurements at various points in the transaction process or business cycle to identify problem areas or inherent weaknesses in work processes, procedures, information systems and content.
Monitors indicators to provide objective evidence of the effectives of quality procedures and controls. Identifies operational activities that meet, exceed, or fail to meet established criteria.
Uses standard qualitative and quantitative measurement techniques to report on status to assigned subject areas.
Monitor's quality program implementation and indicators designed to prevent erroneous transactions and ineffective work practices and to verify adherence to quality plans and requirements.
Evaluates policy reviews as needed, monitors policies, standard operating procedures, and charters related to Care in the Community.
Works closely with the Service Chief and all sub-committees playing a key role in strategic planning for the facility programs.
Coordinates information for the Service Line Programs and plays a role in monitoring access to care and Veteran satisfaction.
Helps coordinate educational programming related to care for Veterans enrolled in the multiple program areas. Collects data and develops performance reports.
Analyzes monthly and quarterly performance reports for problem areas and trends. Coordinates between services lines/program areas and analyzes outreach efforts to ensure access to needed care. Monitors success in all areas of gender specific performance.
Serves as the Automated Data Processing Applications Coordinator (ADPAC) for the REC&W service line and supports staff to ensure access to needed programs and applications. Incumbent supports service line in various administrative functions such as creating Agendas with input from the Program Manager(s), facilitating Meetings and taking minutes and reviewing Equipment and Inventory lists with supervisors and entering orders for equipment purchases us EER/CPRC system.
Assists in investigation, retrieving and integrating medical records related to complimentary integrated health into the electronic medical record, alerting providers of need to review and act.
Arrange meetings, teleconferences, prepare agendas, records minutes, gather and prepare for presentations statistical data and reports, and document activities to support CITC in the form of management committee preparation and process execution.
Knowledge of Microsoft Office programs to properly prepare complex work documents that contain, at times, confidential information and require proficient analytical skills.
Typing Proficiency: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/19/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Utilizes basic software and printing functions. Establishes protocols for incoming data, organizes computerized data sets, and retrieves computerized data. Prepares, composes, or reviews correspondence prepared for the purpose of obtaining or supplying information. Follows up to ensure observance of deadlines and coordination of internal comments and clearance; tracking and compiling data for reporting purposes; performing office automation duties using software applications such as e-mail, word processing, spreadsheets, databases; composing, typing and editing letters and reports; public contact work; maintaining suspense action files to ensure deadlines are met; maintaining appointments, schedules and calendars; coordinating meetings and conferences; and, ordering and monitoring office supplies and equipment; Performs a basic analysis of the data.
