This position provides secretarial support to the Marion Primary Care Manager, the community Based Outpatient Clinics (CBOC) Manager and the Health Systems Specialist to the Chief of Staff (HSS/COS) in a professional and confidential manner at this integrated, two-campus health care system.

Duties

Duties of the Program Support Assistant (OA) include, but are not limited to: Receives and screens all telephone calls and visitors, determining which matters can be handled by this position, or whether calls or visitors need to be directed to other services Maintains the supervisor's calendar for appointments and meetings, and makes commitments for the Marion Primary Care Manager, CBOC Manager and HSS/COS without prior approval. Makes supervisor aware of any reassignment of physicians that may be required to cover the absences of other staff members and personally handles requests for information. Resolves or assists in resolving a variety of complains made by patients, families, and other personnel. Reviews outgoing mail for content and conformance to VA and facility policies, obvious errors in spelling and grammar, proper, address and format, and indicated attachments, as well as for required signatures, before release to the mail unit or to the Office of the Director. Places and receives telephone calls for the Marion Primary Care Manager, CBOC Manager and HSS/COS. Maintains files of VA Regulations, manuals and other directives, and subject files regarding the various professional services and treatment programs in addition to the usual correspondence and reports files for the use of the chief of staff's office in carrying out administrative duties. Composes letters and memoranda from information as to the message the Marion Primary Care Manager and CBOC Manager wishes to convey. Assists in the collection and assembling of applications from physicians and supporting documents, such as reference, interview reports of physical examinations, etc., and checks to see that information is complete for referral to the credentialing and privileging coordinator Diaries and follows up on all proficiency ratings for physicians, nurse practitioners, and physician assistants. Prepares the monthly part-time provider report Work Schedule: 8:00 AM - 4:30 PM; Monday - Friday. Schedule subject to change based on the needs of the Agency. Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for ADHOC telework. Telework eligibility will be discussed during the interview process. Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/10/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 06 position you must have served 52 weeks at the GS 05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS 05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: knowledge of the organizational and functional structure of the healthcare system, knowledge of formal and procedures for communications with outside agencies, knowledge of VA manuals, facility policy memoranda and bulletins, knowledge of computers, including word processing, spreadsheets, and presentation graphics and VISTA, knowledge of extensive body of rules, procedures, and operations concerning the administrative functions of the facility, knowledge of medical and psychiatric terminology, etc. You will be rated on the following Competencies for this position: Administration and ManagementClericalCommunicationComputer Skills Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Work is sedentary in nature but requires lifting files and records. Use of files includes pushing, pulling, stooping, and bending.
