Serves as Program Support Assistant, organizationally aligned under Associate Chief of Staff for Medicine and Subspecialty Care by providing assistants programs and management functions related to coordination, financial administration, and service modernization across wide range complex activities to the Associate Chief of Staff for Medicine and Subspecialty Care of the VA Caribbean Healthcare System.
Duties
Duties include but are not limited to:
Monitor timely compliance with training employment and computer access requirements , such as VA Privacy and Information Security and Ethics and Business Integrity, and other mandatory Talent Management System (TMS) courses on new initiatives, technology, care metrics, and programs.
Assist AO Supervisor, ACOS or Deputy ACOS following up actions and correspondence with AFGE Union officials, scheduling and tracking meetings as required.
Responsible for the submission of procurement requests for complex specialized medical equipment and supplies.
Follow up and management of patient complaints.
Support sections with data gathering and reports to assist Sections in timely responses to action items and other action requests from the Executive, other internal services, and external regulators.
Assist in the data gathering, tracking, and timely submission of actions related to Root cause Analyses, or requirements by accreditation entities.
Configure the employee schedules in VATAS and responsible for the assigned daily timekeeping.
Initiate and maintain audits including, time posted by on station fee basis, leave and exceptions.
Create exceptions reports daily for supervisors to properly maintain a high degree in proficiency.
Provide training to managers, supervisors and employees on exceptions process, regulations, laws and procedures.
Remind managers of timekeeping schedules to ensure time and attendance is certified before the end of each pay period. Independently initiates investigation to resolve pay or leave discrepancies for employees.
Inputs pay run data by posting from certified time schedules into the Veterans Affairs Time and Attendance System (VATAS) via a computer docking station or Personal Computer (PC) daily.
Perform analyses and use judgement in forming conclusions and making recommendations relative to administrative support for assigned program areas.
Work Schedule: Monday-Friday, variable 8 hour day shifts from 7:00am - 5:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/15/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.
For a GS-06 position you must have served 52 weeks at the GS-05.
The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

English Language Proficiency:
In accordance with 38 U.S.C. 7402(d), no person shall serve indirect patient care positions unless they are proficient in basic spoken and written English. You must be proficient in basic spoken and written English and in spoken Spanish to meet the requirements of this position.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience in office automation word processing functions; tracking data; utilizing various software; typing correspondence; collects, assembles, and compiles data for administrative and management reports; and perform other various administrative functions such as tracking time and attendance or establishing and maintaining records and/or files.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; etc. The use of computer is a vital tool in accomplishing the assigned duties and responsibilities that may pose some discomfort relative to the continuous use of the keyboard.
