This position is located within Community Care, at the Tomah VA Medical Center, Tomah, Wisconsin (676) - a Level 3 Complexity VHA Facility. The position serves as primary support coordinating and carrying out day-to-day administrative and office support activities which are required for accomplishing the work of the service.
Duties
Major duties:
Supports Community Care staff in day-to-day operations, which may include assisting with travel requests for staff and supporting volunteers assisting the program.
Assists with outreach planning for Community Care.
Fields questions, and inquiries, answers general questions and refers other questions as appropriate to management.
Takes and distributes messages for the administrative offices of the department, directs visitors and calls to proper destination.
Receives and reviews mail for the departments; determines which items should be brought to the attention of the supervisor as opposed to those that should be sent directly to other appropriate personnel for action.
Types from rough draft or revised typed draft; a variety of letters, memoranda and reports in required correspondence and/or publication formats.
Performs office automation duties using Microsoft Office Software, i.e. Word, Excel, Power Point, Access Outlook, VISTA and associated databases.
Schedules appointments, coordinates meetings, and schedules conferences.
Prepares agenda items; notifies participants; arranges luncheons and other activities; develops background information; arranges for meeting space, speakers, clerical support, and a myriad of related logistical details that are vital to the accomplishment of meeting/conference objectives.
Responsible for the execution of Human Resources administrative management responsibilities pertaining to recruitment, selection, promotion, and awards.
Assists management by collecting data, tracking required measures of performance, and running various office reports.
Functions as a timekeeper, prepares and transmits time and attendance records and reports for office staff.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/13/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 6 position you must have served 52 weeks at the GS 5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS 5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Communication and interpersonal relations, including the ability to appropriately and courteously relate to internal and external customers; Knowledge of medical terminology and technical data; Working knowledge of personal computers and use of software: Windows, Microsoft Word, Access, Excel, Power Point, VISTA Computer System, EHR, and VATAS; Knowledge of spelling, arrangement, grammar and required formats for correspondence, reports, and other office documents; Knowledge and skill in the use of computer software equivalent to Microsoft Word, Excel, Power Point, Access, Outlook and VISIO in order to establish, maintain, and manipulate databases, spreadsheets, track initiatives, retrieve organizational program data, create/compile reports, and produce charts and graphs to monitor project or program status.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary at a desk and workstation area. However, there may be some walking, standing, bending, and carrying of light items like papers, reports, files, or possibly moving computer equipment. May stand to greet visitors and escort people to meeting areas. No special physical demands are required to perform the work.
