This position is located within Medicine Service, at the Tomah VA Medical Center, Tomah, Wisconsin. The incumbent serves as primary support coordinating and carrying out day-to-day administrative and office support activities which are required for accomplishing the work of the service.
Duties
Major duties include but limited to:
Assisting with travel requests for staff and supporting volunteers assisting the program.
Answers many procedurals inquires with personal knowledge of program activities, Standard Operating Procedures (SOP), and policies.
Maintains suspense records/trackers on all correspondence, action documents, and follows up to ensure a timely reply or action is taken.
Types from rough draft or revised typed draft; a variety of letters, memoranda and reports in required correspondence and/or publication formats.
Schedules appointments, coordinates meetings, and schedules conferences.
Provides administrative support ensuring necessary supplies and equipment, assembling reference materials, and handling any associated paperwork are prepared for scheduled meetings.
Serves as the primary Automated Data Package Application Coordinator (ADPAC) for Medicine Service providing administrative, technical, analytical, and Automated Data Processing (ADP) support.
Provides technical assistance for staff regarding computer/printer problems and refers issues that cannot be resolved to OI&T for resolution.
Assists in the training for staff regarding use of computer applications to include Vista, Electronic Health Record (EHR), Outlook, Word, Access, Power Point and Excel.
Work Schedule: Monday-Friday; 8:00am-4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/08/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative support; collecting, compiling and tracking data and information; processing documents and reports; establishing, updating and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; answering telephones, referring visitors, and providing information.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is primarily sedentary at a desk and workstation area. However, there may be some walking, standing, bending, and carrying of light items like papers, reports, files, or possibly moving computer equipment. May stand to greet visitors and escort people to meeting areas. No special physical demands are required to perform the work.
