This position is organizationally aligned to the Caregiver Support Program, Social Work Service, to the Tomah VAMC, Tomah WI. The primary duties of the Program Support Assistant (PSA) will provide a complete range of program support duties, administrative support duties which includes customer service and coordination; data analysis and graphing, special projects, assist in coordinating events, and performance measures reporting.
Duties
Major duties include but not limited to:
Program Support
Communicates regularly with the Veterans and caregivers enrolled in the program.
Assists in the enrollment of Veterans and caregivers in the program, the coordination of services, and scheduling resource training.
Aids the Clinical Eligibility Team in determining program eligibility of new Veterans and
caregivers.
Collects necessary data including the number of Veterans and caregivers enrolled in each
program, visit compliance, active applications, application processing time, Clinical
Eligibility Scheduling, and other relevant program data.
Maintains and tracks program census and assists in the preparation of all program reports.
Assists with registering participants, scheduling locations, securing promotional items, and setup for the Annual Caregiver Support Fair and other special events.
Administrative Support
Receives and screens all telephone calls and directs communication as appropriate.
Schedules appointments, coordinates meetings, and/or schedules conferences for Program Manager, Caregiver Support Coordinators, and Case Managers.
Maintains the appointment calendars, reminds supervisor/staff members of appointments, makes administrative arrangements as required.
Maintains program records, policies, and procedures manuals to meet Joint Commission and VHA standards.
Supports staff in day to day operations, which may include assisting with travel requests for staff and supporting volunteers assisting the program.
Responsible for the execution of Human Resources administrative management responsibilities pertaining to recruitment, selection, promotion and awards.
Budget
Manages the Caregiver Support Program Fund Control Point (FCP).
Assists in providing justification for additional funding, based on needs identified.
Responds to payment inquires or discrepancies from VA approved vendor providers.
Performs other related duties as assigned.
Work Schedule: Monday-Friday; 8:00am-4:30pm
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/02/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Preferred Experience: Highly recommend to have administrative responsibilities, knowledge of Microsoft Products and customer service.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: prepare reports and analyze data, produce typed correspondence and program reports, general clerical and administrative work, utilize office automation to format letters and respond to inquiries.
Typing Proficiency Requirements: In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test.The typing test requirement which requires you to be able to type 40 words per minute typing speed.

Physical Requirements: The work is primarily sedentary and is performed by sitting, standing, bending, and stooping. The employee is required to obtain records from files, and carry files, manuals, and other light objects.
