This position is in the Department of Veterans Health Administration and is the focal point of the leadership staff for the Community Based Outpatient Clinics (CBOCs). The Program Support Assistant maintains programs that support local, regional and national directives, missions, and goals. This position reports directly to the Administrative Officer at the CBOC.
Duties
Major duties and responsibilities will include, but are not limited to:
Serves as the records management liaison responsible for the accountability, maintenance, and disposal of records
Tracks action items and notifies supervisor of impending suspense dates.
Develops workflow charts and graphs, and internal mechanisms for trending and reporting data; workflow efficiency, and program development.
Implements methods to improve accuracy, adequacy or timeliness of information, and systems for disseminating information to supervisors.
Maintains employee competency folders, tracking and submitting appraisals, proficiencies, and awards.
Assists with the management of the Chief's calendar, resolving scheduling conflicts, rescheduling appointments, and printing documents needed for the day.
Generates, routes for approval/signature and tracks a variety of memorandums, letters, and other documents.
Works in collaboration with leadership to operationalize quality assurance initiatives.
Assists with developing, drafting, and updating support policies and procedures, ensuring all regulatory requirements are met.
Performs duties of alternate Personnel Identification Verification (PIV) sponsor.
Performs timekeeping duties.
Performs other related duties as assigned by management.
Work Schedule: Monday - Friday, 8:00am to 4:30pm. Subject to change based on agency needs.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/08/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Developing workflow charts and graphs, and internal mechanisms for trending and reporting data, workflow efficiency, and program development. Coordinates required training for new staff. Provides advice that is timely, responsive, and accurate. Performs daily timekeeping duties. Assist with proposal development for equipment procurement, prioritizing the service's needs, and preparation of all required paperwork. Reviews documents and reports for error, omissions, and inconsistencies and ensures data entry is complete and accurate. Carries out managerial decisions and functional activities within the service and works to resolve conflicts. Attends various meetings supporting the Program Specialist and represents the CBOC on various committees, task forces or other working groups. Uses specialized working knowledge of healthcare data systems, Electronic Health Records (EHR) and principles relating to these areas. Maintain calendars and coordinates meetings and clinical schedules.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is mostly sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, and lifting of equipment less than forty pounds. No special physical demands are required to perform the work.
