The incumbent is the administrative assistant to the Associate Chief for Nursing Service for Education and Medicine. Incumbent provides all the clerical and administrative support necessary to accomplish the mission of the Nursing Education program. Incumbent serves as a central contact person for the Nursing Education Office and provides information about the different types of education programs available.
Duties
Duties include but are not limited to:
Data Management
Prepares the educational affiliations and nursing and allied health trainee applications for signatures from the institution, 14A, 00, and VISN6. This includes screening forms, employment application, authorization for the release of information , Determination of English language proficiency, compliance code of ethical behavior policy, rules of employment, information security, VHA privacy documentation, appointment letter, safety orientation documentation, clinical trainee registration form, trainee qualifications and credentials verification letter, computer access agreement, and fingerprinting for each one.
Manages the creation, revision, and publication of greater than 200 competency files for the medical center. Incumbent is responsible for uploading documents to home and VISN 6 web pages in a timely manner.
Independently coordinates and schedules Nursing Education courses and workshops, making room arrangements, assuring materials and equipment are available and registering participants by phone.
Mail, Correspondence, and Reports
Establishes and maintains routine files, hospital memoranda, certification files, and procedural manuals which affect the Nursing Education programs.
Performs routine clerical and reception duties, making proper disposition of inquiries, referring only unique and unusual situations to others.
Incumbent utilizes all types of office equipment and computer software in the performance of assigned duties.
Incumbent serves as alternate timekeeper for Nursing Service.
Types scholarship, loan, pay-back, program initiative requests, tuition and reimbursement memos and policies as appropriate.
Budget Administration & Support
Functions as Control Point Clerk with 2 control points for Nursing Education and Nursing Service. This includes processing 1358's for tuition reimbursement and EISP, NNEI, VANEEP transactions.
Incumbent independently researches, compiles, and analyzes data to prepare the yearly reports and correspondence pertaining to affiliated programs, tuition support and reimbursement programs, VALOR, SNT, and New Graduate RN programs.
Incumbent provides assistance in the administration of the Tuition Support and Reimbursement programs. Reviews the applications for completeness and prepares related documents for review, routing and signature.
Performs all other duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/08/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Proficiency Requirement: Clerk-Typist, Office Automation Clerk/Assistant and Positions with Parenthetical Titles of (Typing), (Office Automation)
Clerk-Typist, GS-2/4; Office Automation Clerk/ Assistant (any grade); (Typing) (any grade); and (Office Automation) (any grade): require 40 words per minute typing speed.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative support; collecting, compiling and tracking data and information. Processing documents and reports. Establishing, updating and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics.

Physical Requirements: The work is sedentary with some walking, standing and bending, sometimes while carrying light items such as papers, books, and files. The incumbent is sometimes required to travel from one building to another to attend meetings and conferences in company with the Associate Chief Nurse for Education.
