The Program Support Assistant (PSA) is under the Sterile Processing Services (SPS) Section of Nursing Services under the Nurse Executive Services within the Minneapolis VA Health Care System. The PSA participates actively in the management of the SPS Section as the Program Specialist to the Chief and Assistant Chief of Sterile Processing Services providing analytical and evaluative support to the SPS department for administrative functions.
Duties
Major duties include, but are not limited to:
Serves as the subject matter expert for daily scope tracking data, instrumentation purchase agreements and pay for performance instrument repair contracts.
Develops electronic data management systems based on above collections and analysis needed to maintain critical operating information of the Service Line.
Responds to management's need for improved databases, data analysis of all scopes/instrumentation,- use, reuse, cleaning, disinfection, orders/reorders, repairs, end of life for all procedures performed in the hospital and CBOC.
Determines plans for new procedures and instrumentation needed with cost/benefit, and analysis of FTE needed to meet the demands of procedures for SPS
Identifies more efficient reporting methods by determining ways to apply computer capabilities to appropriate work records and administrative operations.
Brings data together into one comprehensive report with analysis or information for analysis related to cost and quality.
Fact-finding and analysis of data (volume, costs, forecasts needs for additional instrumentation/FTE/surgery schedule modifications, etc. before needs arise) and preparation of findings as assigned for review.
Maintains consistent communication with clinical service line personnel at all levels.
Supports administrative activities utilizing various complex databases and computer applications including spreadsheets, databases, word and presentations.
Mentors and trains supervisors and administrative support staff in all SPS departments in the use of data management techniques and assists them in the development of data tracking tools.
Serves as the ADPAC for the entire SPS Service Line and is responsible for routine maintenance of employee computer access accounts including regular review of program access and employee training compliance.
As part of the leadership team, must be familiar with all organizational problems within the department and independently initiates program recommendations and decisions regarding SPS, as delegated by the department Leaders.
Performs administrative support duties in by performing general office work and data management.
Organizes and records meetings as necessary, creating invites in Outlook and reserving rooms, preparing agendas and needed equipment.
Responsible for the coordination of the personnel paperwork (such as 52s, leave tracking, timekeeping, etc) and tracking for the department.
Performs other duties as assigned.
Work Schedule: Monday - Friday, 7:00am - 3:30pm

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-05) in the normal line of progression for the occupation in the organization. The specialized experience for this position is defined as: collecting and entering data; conducting analysis of data and providing advice or recommendations to management related to program issues and improvements; researching policies and regulations; maintaining program initiatives and goals; providing technical service to patients and/or other staff in relation to a program.
