This position is in the Audiology and Speech Pathology Service (ASPS) at the VA Tennessee Valley Healthcare System, Nashville TN campus. The person in this position reports to the Chief of ASPS and is responsible for accomplishing a broad range of program administration, administrative support and clerical duties associated with and in support of the ASPS.
Duties
Enters new clinic set up, clinic modification and clinic cancellation requests with guidance from ASPS Chief or Asst Service Chief
Prepares reports and reviews correspondence including assisting with completing all administrative projects requested of the clinic. These documents may include spreadsheets, charts, graphs, and tables
Prepares drafts and guidance for the development/implementation of the clinic policies and procedures and maintains up to date standard operating procedures
Coordinates administrative details and activities for the Service Chief/Asst Service Chief, Supervisors and other clinic Staff as needed
Establishes and maintains liaison with professional and administrative personnel in all services of the facility and appropriate personnel in the Veterans Integrated Service Network (VISN) 9, Veterans Administration Central Office (VACO) and other Veterans Affairs Medical Centers (VAMCs).
Attends administrative meetings with department representatives outside of the service with, or instead of, the Service Chief or Asst Service Chief
Handles correspondence for the Chief and Assistant Chief to include preparation of policies, plans and operating procedures for signature and submits to the appropriate entities.
Participates in and is trained in System Redesign, able to lead process improvement projects for the service as needed.
Coordinates preparation for internal and external review programs
Has knowledge of the scheduling process, electronic wait list, and other directives dealing with access to care
Monitors clinic grids for utilization and compliance with national and local guidelines
Collects, compiles and/or tracks data and statistical information in support of the clinic operations
Prepares weekly, monthly, quarterly, and annual reports for the service for internal clinical use and external requirements; ensures reports to external entities are submitted accurately and timely; assists in tracking and monitoring of service consults.
Responsible for accumulating information, data analysis and planning regarding required administrative recommendations and/or decisions to implement efficient clinic operations
Prepares and assists the Chief and Assistant Chief in preparing management assessment reports by extrapolating data from data bases, written and oral reports.
Analyzes performance measure monitors and responds to those as able to or delegates to someone with more expertise
Work Schedule: Monday through Friday 7:30am to 4:00pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/12/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: knowledge of a full range of administrative functions, processes and procedures; knowledge of organizational policies and procedures, knowledge of system redesign process, knowledge of standardized administrative practices, skill in collecting and tracking data and ability to analyze and interpret the data gathered in order to generate reports; ability to track and monitor service consults, ability to enter new clinic setup, modification, and cancellation; ability to communicate orally and in writing with use of proper grammar, spelling, punctuation. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed a master's or equivalent graduate degree, or 2 full years of progressively higher level graduate education leading to such a degree, or an LL.B. or J.D. in a related field that demonstrates the knowledge, skills, and abilities necessary to do the work of this position. Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and graduate education beyond the first year or 18 semester hours and specialized experience to meet total experience requirements. Physical Requirements: Work is performed in an office environment within a clinical area in the VA Medical Center. Work is primarily sedentary in nature, requiring working in a seated position at a computer workstation/desk. No special physical demands are required to perform the work of this position. The work area is adequately lighted, heated, and ventilated.
