Duties

- Responsible for assisting with correspondence which may include receiving, reading, and controlling sensitive incoming correspondence and reports.
- Drafts replies to general office inquiries, assists with data collection, prepare reports, and act on requests received concerning procedural or administrative requirements.
- Reviews outgoing correspondence for procedural and grammatical accuracy, conformance with general policies, and factual correctness.
- Maintains Group Manager's calendar; schedules appointments, meetings, and conferences; and sees that the Group Managers are fully briefed on the matters to be considered before a scheduled meeting.
- Receives and screens telephone calls and visitors. Takes messages for managers and employees as needed, and schedules appointments for visitors. Provides general administrative and non-technical information to callers, refers technical inquiries and visitors to the appropriate individual or group.
- Coordinates with Regional travel office. Incumbent is responsible for purchasing supplies, services, and/or training under the provision of Boulder Canyon Operations Office (BCOO).
- Responsible for the administrative oversight of various business processes, which may include processing financial, procurement, agreements, property, staff, and other administrative instruments for the office.
- Ensures travel authorizations and vouchers are completed with policy deadlines. Check's accuracy of authorizations and vouchers filled out by BCOO staff.
Qualifications
In order to be rated as qualified for this position, the HR Office must be able to determine that you meet the specialized experience requirement - this information must be clearly supported in the resume.
GS-6: To qualify at the GS-6, you must possess one year of specialized experience equivalent in difficulty and complexity to at least the GS-5 level in federal service having demonstrated experience.
GS-6 Specialized Experience: Specialized Experience is defined as experience preparing and finalizing correspondence in addition to at least two of the following areas: 1) Serving as a timekeeper or knowledge of a time and attendance system; 2) buying with a purchase card or allocating purchases using a database system; 3) Making travel arrangements for others; or 4) Performing a variety of administrative and support functions (i.e. setting up meetings using electronic calendars; tracking/keeping staff informed of suspense dates; or researching/providing answers to questions).

Time-In-Grade: Current career or career-conditional employees of the Federal government, or former career or career-conditional employees, who have a break in service of less than one year, are required to meet the time-in-grade restriction of one year of Federal experience at the next lower-grade, with few exceptions outlined in 5 CFR 300.603(b). Applicants eligible under the Land Management Workforce Flexibility Act (LMWFA) are not required to meet time-in-grade restrictions in order to be considered.
