This position, Administrative Support Specialist, serves as the principal administrative, technical, and clerical support for Office of the Chief Financial Officer (OCFO), Finance Branch. The principal objective of the Finance branch is to provide Agency-wide central accounting and financial management services to the Agency.

Duties

As a Administrative Support Specialist GS-0301-11, your typical work assignments may include: Serving as a SharePoint administrator for Finance to ensure that the configuration management protocols are managed on the Finance Branch site. Establishing, reviews, and updates complex administrative/office procedures and guidelines. Identifies potential administrative support issues and develops effective recommended solutions. Serving as office manager with responsibility for coordinating several administrative activities, including coordinating and tracking non-federal source travel reimbursements. Managing the supplies and equipment for the OCFO and ensures sufficient inventory is maintained within the office. Determines the appropriate purchasing process based on the item(s) requested. Preparing correspondence and other material in reply to general inquiries made to the Finance Branch independently. Reviewing correspondence and documents prepared for signature of or requiring coordination by the Finance Director for conformance with regulations, grammar, format, and special policies of the Agency.

The Ideal Candidate The ideal candidate for the Administrative Support Specialist position has strong organizational, multitasking, and detailed oriented skills. The candidate also has knowledge in computer software such as Microsoft Office Suites (Word, Excel, PowerPoint, etc.,), experience with office procedures, time and attendance, payroll, excellent interpersonal, writing, and communication skills. SPECIALIZED EXPERIENCE Applicant must have one year of specialized experience equivalent to the GS-9 grade level that has equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the GS-11, Administrative Support Specialist, and that is typically related to the work of the position to be filled. Specialized experience includes: Experience preparing a variety of correspondence including letters, reports, charts, statistics, and tables; Experience managing time and attendance, payroll systems and/or employee tracking systems; Experience Establishing, reviewing, and/or updating administrative/office procedures and guidelines; and Experience coordinating travel management and/or vendor management systems and providing resolutions to users. OR Education: Ph.D. or equivalent graduate degree or 3 full years of progressively higher-level graduate education leading to such a degree or LL.B. or J.D., if related from an accredited college or university. (Note: You must attach a copy of your transcripts.) OR Combination: You may qualify by a combination of experience and education. To combine education and experience, the total percentage of experience at the required grade level compared to the experience requirement, as well as the percentage of completed education compared to the education requirement must equal at least 100 percent. TIME-IN-GRADE REQUIREMENT Applicants must meet time-in-grade requirements to be considered eligible. One year of experience at the GS-09 grade level or equivalent grade level of federal service is required to qualify for the GS-11 grade level. *NOTE*All current or former Federal employees must provide a copy of their SF-50 "Notice of Personnel Action" that indicates proof of status and time-in-grade eligibility. The SF-50 must include your position, title, series, grade, step, tenure, and type of service (Competitive). *NOTE*Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education must be accredited by an accredited institution recognized by the U.S. Department of Education in order for it to be credited towards qualifications (particularly positions with a positive education requirement).
