The Program Support Assistant (OA) is primarily responsibility is to organize and maintain the difficult, day to day administrative operations of the Health Information Management Service. The PSA is the primary point of contact for patients, medical center staff, VISN staff, community providers, and various other individuals who contact the Health Information Management department. The location of the position is the Office of the Chief, HIM Service, VATVCBHCS, Harlingen, TX.
Duties
Duties Include but are not limited to:
Participates by assisting in the planning, review, and reporting of data/statistical results of the program. This is done by performance of work involving the collection, compilation and/or tracking of date and statistical information in support of the HIM program's operation including VISN Scanning Hub support which entails supporting Level 1-3 facilities in VISN 17. Establishes and organizes computerized data sets and retrieves computerized data. Generates a variety of reports based upon the data pulls performed. Identifies, initiates and organizes process for data collection for the program. Reviews documents and reports and ensures data entry is complete and accurate. Enters pertinent information into an automated tracking system. Maintains automated system of program-specific data to track and works with the Service Chief and/or Administrative Officer to implement a plan of action based on the data. Supports the HIM staff with timely completion of regular reports, controlling correspondence and action documents, regularly monitoring of the program's budget, and composes correspondence on own initiative. Prepares regular and recurring reports and other statistical data as it relates to scanning, HIT functions, Coding, CDI, ROI, Record Management, and fund control point management. Assembles and summarizes data, background information, and other pertinent data from the automated HIM applications and other sources. Responsible for properly recording and tracking performance measures data and performance improvements, to include assessing and compiling data from VSSC and other data cubes as appropriate. Responsible for completing and maintain current status for all national quarterly encounter updates to VCB clinics. Responsible for tracking, monitoring and retrieving data for all VCB staff exit clearances as it relates to the HIM Service requirements to include Record Management. Evaluates transactional histories, source documents and other documentation in cases where fraud or inappropriate processing of transactions is suspected. Maintains records of each Obligation and Control Point to ensure appropriate reconciliation at the close of the appropriate time period. On a regular basis, prepares reports on the status of funds in assigned accounts and activities and provides the information to the appropriate office.Incumbent will be the designated service Automated Data Processing Application Coordinator (ADPAC) and will be responsible for implementing a set of PC and VistA computer programs (application package(s)) developed to support the HIM service functions. In this capacity, the incumbent may act as an advisor to service management on service ADP needs, be a problem solving resource to co-workers for PC and VistA packages that are relevant to HIM, perform in a support capacity for developing reports and statistical compiler/reviewer, a trainer (demonstrating only basic techniques) relating to service and general needs, and between service and Ol&T personnel. Incumbent will process all ePAS and will maintain menus/keys matrix for all HIM staff roles. Incumbent will maintain dashboard with all service support contacts as it pertains to HIM applications and needs. The incumbent is capable of demonstrating the flow of health information and the retrieval of health information both within its section and throughout the outpatient facilities. The incumbent is knowledgeable of the processes as they relate scanning, HIT, ROI, Coding, CDI, and Record Management.
Work Schedule: Monday-Friday 8:00 am to 4:30 pm CST

Physical Requirements: Work is sedentary but requires walking, standing and carrying of very light weight items, such as patient records. Incumbent works extensively in the hospital computer system. Incumbent must have an even temperament and act in a professional manner during work performance.

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience where you were responsible for providing administrative support; collecting, compiling and tracking data and information; processing documents and reports; establishing, updating and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; answering telephones, referring visitors, and providing information. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have Successfully completed four (4) years of education above the high school level in any field which high school graduation or the equivalent is the normal prerequisite. (TRANSCRIPT REQUIRED). OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and education beyond the second year (in excess of the first 60 semester hours post high school) and specialized experience as described above, which meet the total experience requirements for this grade level.
