This position is located within the Office of Virtual Care at the Gulf Coast Veterans Health Care System (GCVHCS). The Virtual Care Telehealth program provides coordinated healthcare to Veterans across time and/or distance barriers using telecommunications technologies in accordance with VHA, VISN and facility level policies and procedures and supports VISN and facility strategic planning efforts.
Duties
Creates workflow charts and graphs, and internal mechanisms for trending and reporting data, workflow efficiency, and program development.
Initiating orders for supplies, services, receiving reports, licenses, and follows up to ensure that all orders are timely received.
Collects and analyzes workload and assessment data related to inpatient and outpatient acute and specialty care. Maintains current records, reports, and surveillance logs.
Refers callers and employees to appropriate individuals or services for additional assistance that is beyond his/her knowledge.
Represents the Home Telehealth department in facility meetings or events when needed.
Reviews requests for information from employees and Veterans, directs them to the appropriate individuals within GCVHCS.
Manages multiple priorities and demands from several competing sources, organize and plan work of an office using adequate control procedures, while meeting deadlines and working under pressure.
Manages work schedule of the Home Telehealth Department Care Coordinators by reserving appointment times, space, and contacting personnel involved.
Serves as primary liaison between Veteran and the Home Telehealth department.
Answers phone calls, monitors voicemails, reaches out to non-responders, and prioritizes calls.
Serves as liaison between service and OI&T,
Contact nonresponsive Home Telehealth (HT) patients to motivate them to continue using their HT equipment to transmit biometric data or schedule VVC visits on behalf of RN Care Coordinators.
Manages the schedules of veterans on behalf of the HT Care Coordinator.
Tracks HT consults to ensure that patients are routed to the correct Telehealth staff member, scheduled into the correct Telehealth clinic, and at the correct VA facility.
Coordinates program support work schedules with patient availability, resolving any issues experienced during the education and installation process,
Functions as backup timekeeper.
Ensures time and attendance requirements (reporting, leave administration, etc.) are adhered to by the staff members.
Prepares agendas and records minutes for the monthly Virtual Care Committee Meetings and telehealth meetings.
Places LEAF requests for engineering work orders for maintenance, or information technology.
Requests of new user accounts (Windows, VistA, Outlook, CPRS, etc.), assigns service-specific menus and keys.
Work Schedule: Full-Time, Monday through Friday, 7:30AM - 4:00PM - Subject to change based on facility needs

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/06/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement.
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-6) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Experience with the VA and Service guidelines in governing correspondence, memorandums, policies, and procedures.
Applies knowledge of VA laws, regulations and procedures and their practical application.
Utilizes daily a variety of software programs (e.g., Microsoft Office, file management, CPRS, VISTA, EXCEL, PowerPoint, TMS, ADPAC) to gather, analyze and display data utilizing templates, graphics, and spreadsheets.
Communicate effectively both verbally and in writing in a variety of settings with personnel at all levels in the medical center.
Adept administrative organizational skills, with highly developed customer service skills and abilities evidenced by successful work experience in complex, administrative office environment(s).

Physical Requirements: The work is sedentary. The incumbent sits comfortably to do the work. The job could also include walking, standing, bending, and carrying items such as paper, books, training materials, monitors, HT equipment, etc.
