The incumbent acts as the principal Office Assistant who provides administrative assistance to the Director, Quality Management and supporting Quality Management staff including Systems Redesign Coordinator, Risk Manager, Patient Safety Specialists, Accreditation Manager, Utilization Management Coordinators, Performance Improvement Specialists and Data Analysts.

Duties

The Secretary works for the Director, Quality Management and supporting Quality Management staff including Systems Redesign Coordinator, Risk Manager, Patient Safety Specialists, Accreditation Manager, Utilization Management Coordinators, Performance Improvement Specialists and Data Analysts. The major duties include, but are not limited to: Processing a wide variety of transactions for more than one type of assigned activity or functional specialization. Acts as a liaison and mentor to other managers and staff within the medical center and provides accurate advice on procedures, reports, requirements, and other matters necessary to implement the supervisor's policies, directives, and instructions. Works with other Quality Management and corporate secretarial administrative staff to address administrative concerns of Quality Management and relieves Quality Management staff of much of the administrative workload in order that they may carry out activities associated with their positions. Expert on the rules and regulations concerning the administrative procedures in Quality Management as well as the medical center. Proficient at information gathering and processing for various reports and proposals. Notifies others regarding meetings, procedures, requirements, and coordinates the functioning of the Quality Management Department with the operations of the other product lines. The incumbent autonomously develops and processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication. Takes, transcribes, types and distributes minutes of the various Quality Management meetings. Independently reviews documents prepared for signature. Schedules appointments, coordinates meetings, and/or schedules conferences. Performs timecard management for Quality Management staff. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/23/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position, you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: composing and editing correspondence, coordinating the work of an office, maintaining appointment calendars, scheduling appointments, serving as timekeeper, making travel arrangements, compiling data for reports, scheduling conferences and meetings, taking minutes and operating a personal computer. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Secretary work is sedentary; typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying light items such as papers or books.
