About the Position: Serves as the principal office assistant, performing administrative and clerical duties in support of the work of a moderately complex organization, where there is a system of formal internal procedures and administrative controls.

Duties

Prepares correspondence in accordance with policies and procedures. Maintains liaison with the human resources office concerning personnel actions. Receives phone calls and directs the calls to the appropriate person. Retrieves information from data systems to use in document preparation. Utilizes various office software to prepare correspondence, spreadsheets, and reports. Schedules meetings for the Division chief. Prepares supply requisitions for the Division. Maintains tracking records of office property. Compiles and formats data for reports.

Requirements

  • Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
  • The position requires a qualified typist.
  • Employees appointed as Government Purchase Card holders must obtain and maintain a Government Credit Card.
  • Must complete local and regulatory government credit card training within 12 months.

Specialized Experience: One year of specialized experience which includes: (1) performing and coordinating a variety of clerical and administrative work for an office; (2) experience and knowledge in the capabilities, operating characteristics and advanced functions of a wide variety of office automation software including word-processing, spreadsheet, database, calendar, electronic mail etc. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06). Proficiency Required: This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors.
