About the Position: This position primarily assists the District Engineer, providing support to the Deputy District Engineer, as required by performing a variety of clerical and administrative tasks to further the efficient operation of the Executive Office and to relieve the DE of administrative details.

Duties

You will maintain the District Engineer's calendar showing appointments, movements, and conferences. You will receive office visitors and telephone calls, determining their business and handling routine matters personally. You will make travel arrangements as necessary for the District Engineer and occasionally those accompanying them. You will review incoming mail to determine procedural and grammatical correctness, clearness of expression, conformity with general policy and compliance instructions and directives regarding procedure, and the policy of the DE. You will assist in the preparation of itineraries and logistical support plans for trips/visits by Congressional members, members of their staff or other higher level Government officials. You will utilize a computer terminal and word processing software to electronically retrieve, review, revise, and finalize correspondence for supervisor's signature, as well as creating material from rough drafts and oral or written instructions. You will utilize various computer software to input, retrieve, manipulate, and store data relative to the functions of the office in order to prepare a variety of periodic and special reports. You will serve as the District's Subject Matter Expert on all correspondence, both internal and external. In addition, serve as the final review and gatekeeper for any document for the DE's signature. You will serve as recorder during the DE meetings or other meetings required to take notes depending upon the importance of the subject. You will provide continuity of the administrative work and procedural aspects of the office operations during changes in incumbency or during his frequent temporary absences from the District Office. You will initiate, develop and execute the Executive Office fiscal year operating budget. You will maintain Executive Office files. Support the Deputy District Engineer when required. Serve as alternate timekeeper for Executive Office. You will schedule meetings with staff secretaries to keep informed of matters that relate to overall district operations.

GS-09: I have one year of specialized experience equivalent to at least the GS-08 grade level in the Federal service which includes 1) Maintaining a calendar showing appointments, movements and conferences and making appointments as required; 2) Making travel arrangements and assisting in the preparation of itineraries; 3) Utilizing word processing software to electronically retrieve, review and finalize correspondence and utilizing various computer software to input, retrieve, manipulate and store data; 4) Initiating, developing and executing an operating budget. Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-08).
