About the Position: As the Secretary to the Engineering Division Electrical, Mechanical, Cathodic Protection TCX Section, you will be the principal point of contact for secretarial and administrative support to all members of the section.
Duties
Enter time and attendance for officemembers and validate approved leave and overtime.
Manage office supplies, and order replacements as directed.
Track and manage office property account(s) ensuring full accountability of all issued property.
Review and route incoming and outgoing mail.
Create travel arrangements for office members and/or visitors to the office.
Review outgoing correspondance for format and conformance with procedural instructions.
Prepare briefing materials and charts from provided data.
Gather information and compose, for supervisory signature, replies to routine correspondence or inquiries.
Answer telephone and receive visitors to the office, making appropriate referrals.
Utilize the Microsoft Word to prepare and edit letters, memos, and similar documents.
Create and manage spreadsheets from data provided or gathered from multiple sources.
Prepare and edit PowerPoint slides and briefing documents.
Utilize financial management software to generate and record transactions CEFMS.
Maintain office files according to established functional file system.
Requirements

- Temporary duty travel of up to 10% is required.

Specialized Experience: One year of specialized experience which includes: 1)Performing administrative support functions such as correspondence, time and attendance, and travel coordination; 2)Utilizing various office automation systems and software;and 3) Receiving and greeting Federal and public sector partners and stakeholders in an efficient and professional manner. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05).
Typing Proficiency: This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors.
Some federal jobs allow you to substitute your education for the required experience in order to qualify. For this job, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted.
Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-05).
