This position functions as a Program Support Assistant in the Nursing Service, which is a multifaceted organization that includes responsibilities for all inpatient and outpatient nursing care at the Medical Center. The incumbent serves as the staffing clerk for the Nursing Service. The general natures of the duties of this position are technical, administrative, and clerical.
Duties
The work requires knowledge of the procedures involved in carrying out the work of the nursing services in inpatient, outpatient, Spinal Cord Injury/Dysfunction, and Community Living Center.
Coordination- Staff/Transportation - 50% (Major Duty)
The incumbent reviews the time and attendance of the nursing units and coordinates with other staffing clerks, timekeepers, and supervisors to ensure that all nursing units have adequate staffing coverage.
The incumbent is also responsible for:
-Reconciling staffing at the beginning of the shift to ensure coverage as early as possible.
- Coordinating transportation for patients internally.
- Assisting Nurse Manager/Hospital Supervisor with daily staffing plans and schedules.
- Coordinating nursing operations during WHEN hours as directed by the Nurse Manager/Hospital Supervisor.
- Coordinating with Hospital Supervisor Team to support data input into the different management services' dashboards.
- Ongoing communication with nursing leadership.
- Assisting with the implementation and maintenance of the staffing and scheduling system.
Nurse/Hospital Administration Coordinator (HAC) Assistant - 25% (Major Duty)
- Assists with obtaining census information from patient care units.
- Participates in patient care experience during WHEN hours.
- Data collection and management as requested by nursing leadership.
Equipment Care - 15% (Minor Duty)
- Submits work orders for PC workstations, printer, copier, and telephone repairs and maintenance.
- Assists the Nursing Service operations in collecting, and arranging, computer programs and manuals.
Additional Duties - 10% (Minor Duty)
-Organizes and maintains files and records, manuals, handbooks, and other related materials.
- Assists with timekeeping function as directed by nursing leadership.
- Providing feedback to nursing leadership as needed.
- Performing administrative duties, such as, answering telephone calls and making appointments, when required.
- Performing all other duties as assigned, normally of a related nature as assigned by nursing leadership.
Work Schedule: Monday - Friday, Days, Alternate weekends

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Position requires experience in a busy hospital office setting.
Position requires the skills of a fully qualified typist, as well as skills in personal computer operation and in various office automation software packages, such as word processing, spreadsheets, data bases, presentations, etc.
Knowledge of the use of other office equipment, such as fax machines, reproduction machines, blueprint reproduction machines, is required.
Knowledge of the Medical Center and the Nursing Service administrative and technical functions and established procedures is required.
Requires knowledge of the procedural requirements of the staffing can coverage coordination, coupled with an awareness of the specific functions and staff assignments of the Nursing Service.
Preferred Experience
Knowledge of the organization and structure of the Medical Center and the various laws, rules, and regulations governing the operation of the Nursing Service in order to assist in the coordination and administration of the Nursing Program.
Knowledge of the substantive programs, functions, duties, priorities, commitments, policies and program goals of Nursing Service and staff sufficient to accomplish the clerical and administrative functions of the Service Center and to coordinate the work of the office with other offices in the Medical Center.
