The position is located in the Center for Organizational Development (CL&OD) of the James J. Peters VA Medical Center, Bronx, New York, and functions as the. Program Support Assistant. Responsibilities include performing a variety of specialized office support and miscellaneous clerical and administrative duties to assist the professional staff in a timely and efficient manner in accomplishing the Program's mission and objectives.
Duties
The Program Assistant provides detailed procedural guidance in all matters relating to the CL&OD. Including, but not restricted to:
Performs clerical, administrative, and technical program support work for the service line;
Schedules meetings, transcribes minutes, gathers reports and tracks actions for committees
Collects, compiles, researches, and tracks data;
Serves as the primary timekeeper by tracking employee time and attendance;
Types a variety of documents into final form, ensuring correct grammar, spelling, punctuation, format and style;
Performs basic data analysis to generate reports;
Prepares correspondence and a variety of other documents;
Handles conflict and problems in dealing with customers, constructively and appropriately
Performs telephone and face-to-face receptionist duties; and
Performs related duties as required.
STUDENT TRAINING PROGRAMS:
The verification of documentation of prospective students, interns and trainees and the verification thereof,
Reception and Processing of over 500 new students annually, attending to all of their administrative needs, and interfacing with the appropriate personnel at the affiliated academic institutions for the purpose of student program integration,
Inputting of demographic information into the New Person File of over 500 new students annually.

TIMEKEEPING:
The incumbent is the primary timekeeper for CL&OD T&L's 066-068. Assures attendance verification and prepares correspondence for the CL&OD.
Fiscal (IFCAP):
Submission of 1358's and 2237's (funds obligations) for Tuition Reimbursement, Tuition Support (College), Honorariums, and NNEI/EISP requests.
Processing of all 1358 obligation adjustments.
Processing of all 1164 (Tuition Reimbursement) forms for submissions to Fiscal for employee reimbursement, Submission of Vendor Enrollment Forms to Austin Financial Center for processing into the Financial Management System (FMS).
TMS Administrator:
Register employees (facility) wide for announced training programs, Reset passwords.
ADPAC:
Incumbent serves as alternate ADPAC for CL&OD.
SCHOOL.AT WORK PROGRAM (SAW):
Incumbent oversees and serves as coach/mentor for the School at Work Program (SAW) with responsibilities for program planning, coordination and implementation including evaluation of learning outcomes

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/16/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience with automated files, Experience with Microsoft office suite: Word, Excel, PowerPoint, Outlook programs. Experience managing and maintaining department records and databases. Verbal and written communication skills. Skill creating correspondence, verifying documents. Experience with customer service in a medical environment. Experience with sponsoring personnel Identification Verification (PIV). Timekeeping.
