The Program Support Assistant (PSA) for Behavioral Health Services (BHS) performs a wide variety of administrative management duties. Incumbent must independently plan and carry out assignments vital to BHS operations and management of personnel. Incumbent will receive assignments and instructions and is expected to complete work which will be assessed by leadership. The PSA plays a vital role to support the BHS.
Duties
Designs and implements training programs for all Mental Health Service staff, including residents, interns, fellows, and medical students for the entire range of applications and packages, including CPRS, Vista, Mental Health Treatment Suite, etc.
Completes requests for personnel actions and assists with writing position descriptions and functional statements.
Assists leadership in the preparation and completion of the performance appraisal cycle.
Maintains the six-part folders, per policy.
Tracks Mental Health staff credentialing.
Serves as training coordinator for the Mental Health Service, including serving as the TMS administrator.
Determines required access for clinical and administrative staff, requests clinical and administrative menus and assigns same where applicable.
Assists in determining equipment needs and training requirements.
Formulates, plans, and oversees data validation activities.
Collects data for several office operations, analyzes the data, sets up controls to monitor them and independently troubleshoots as needed.
Tracks incomplete encounters and consults routinely, running the relevant reports to identify these encounters and/or works with providers and other staff to address them appropriately.
Prepares recurring and non-recurring reports for presentations within the service, other services, and/or medical center committees.
Collecting, compiling, entering and/or tracking statistical information in support of program operations.
Maintains all policies/procedures/operation manuals to meet JCAHO, CARP, and other VHA QI standards.
Serves as the PSA to include inpatient, outpatient programs and all specialty clinics (BHIP, PCMHI, Suicide Prevention, etc.) at the Biloxi, Mobile, Pensacola, Eglin, and Panama City clinical sites.
Utilizes a variety of software programs and communication tools to input and retrieve data as required.
Collects, enters, and manages data, including both patient data and program data.
Performs a variety of administrative functions and assignments necessary to coordinate the management of the office, such as, purchasing functions to include procurement of services, products, supplies, and/or equipment.
Provides administrative and clerical support with specific emphasis on consult management, patient contacts and scheduling, database entry and maintenance, and answering phones.
Maintains a calendar of appointments, meetings, conference calls, and scheduled leave as well as coordinates meetings, prepares travel papers, schedules conferences, and assists the treatment team with all administrative functions, including time and attendance.
Work Schedule: Full-Time, Monday through Friday, 7:00AM-3:30PM - Subject to changed based on facility needs

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/01/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization.
Examples of specialized experience would typically include, but are not limited to:
Adept administrative organizational skills, with highly developed customer service skills and abilities evidenced by successful work experience in complex, administrative office environment(s).
Experience with laws relating to medical health information, confidentiality, privacy protection, and release of medical information.
Demonstrates a broad range of patient care and administrative services at a Medical Center to plan, implement, and advise on various activities relative to quality management/improvement.
Utilizes daily a variety of software programs (e.g., Microsoft Office, file management, CPRS, VISTA, EXCEL, etc.) to gather, analyze and display data utilizing templates, graphics, and spreadsheets.
Communicate effectively both verbally and in writing in a variety of settings with personnel at all levels in the medical center, representatives from the media, VLSN and central office officials, and ability to respond to congressional inquiries.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedimentary, although some slight physical effort may be required in the procurement and maintenance of office supplies and equipment.
