The incumbent serves as the administrative Program Support Assistant to the Prosthetics Service for the Department of Veterans Affairs Medical Center (VAMC), Sioux Falls, SD, under the Prosthetics Service. The incumbent works on a number of administrative and clerical duties for the prosthetics service line.

Duties

Major duties include but are not limited to: Serve as initial contact/receptionist for customers by phone and/or in person for the Prosthetics department. Act as clerical and technical representative in the patient care area for the service. Provide support to the professional staff (medical personnel, contractors outside VA customers, administrative officers). Enhance customer service by demonstrating cooperative, and respectful behavior and offering excellent communication. Work with others to accomplish tasks or goals. Interact timely and efficiently with Veterans to complete requests and offer assistance. Responsible for performing various clerical, administrative and technical duties/tasks. Receives outgoing correspondence and responsible for correct/accuracy review and completeness. Maintain and update databases with patient information. Serves as the services ADPAC, TMS Administrator, PIV card sponsor, office supply ordering designee, timekeeper, and other official administrative support duties for service staff. Occasional work with prosthetic and orthotic devices and orders for Veterans, utilizing proper terminology for assistance. Prepare correspondence and publications to assist leadership, utilizing handbooks and directives for service. Basic understanding of prosthetics specialty programs to assist with questions and requirements of programs for Veterans. Utilize a variety of computer word processing to create reports, policies, forms, pamphlets, and other administrative reports. Responsible for protecting data and following applicable regulations and instructions for electronic files. Periodic scheduling of appointments for walk-in patients if needed Other duties as assigned. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/16/2023. Minimum Qualifications for GS-05: You must qualify based on your experience and/or education as described below: Specialized Experience: One year of specialized experience (equivalent to the GS-04 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes but is not limited to: Familiarity with the Prosthetics program and related clinical services, Demonstrated ability to perform administrative duties, such as utilizing various software systems to prepare reports, forms, pamphlets, and other items for publication; Understanding of policies, regulations and directives to perform duties; Basic knowledge of terminology as it relates to administrative, industrial and engineering for the organization; Good communication skills, both oral and written as well as interpersonal skills. (This experience must be well documented in your resume or application package). OR, Education: You may substitute education for the required experience. To qualify based on education for this grade level, you must have completed 4 years of education above high school at an accredited business, secretarial or technical college, junior college, college, or university. (TRANSCRIPTS REQUIRED) OR, Combination: You may also combine education and experience to qualify at this level. You must have a combination of specialized experience and education beyond the first 60 semester hours (the second year) that totals 100%. To compute the percentage of the requirements you meet, divide your total months of experience by 12. Then divide the total number of completed semester hours beyond the second year (EX: 75 semester hours - 60) by 60. Add the two percentages. (TRANSCRIPTS REQUIRED) Typing Proficiency Requirement: In addition to meeting experience or education requirements, applicants must also be able to type 40 words per minute. Words per minute are based on a 5-minute sample with three or fewer errors. You will be rated on the following Competencies for this position: InterventionOrganizational AwarenessProject Management Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
