Duties
This position is located at the VAMC Milwaukee, WI, in Community Care. The primary purpose of this position is to coordinate and manage the provision of medical testing, treatment and/or procedures to both internal and external patients referred for diagnostic services and/or treatment that are not available from VA sources and is attainable from a private institution at VA expense through Community Care (PC3) programs.
Incumbent is the primary coordinator for scheduling of Community Care procedure in the Medical Center and all Community Based Outpatient Clinics (CBOC's) for urgent and non-urgent requests.
Obtain requested reports, x-rays, labs, medical records, and any pertinent information required to complete the Non VA Care consult in CPRS.
Answers automated call distribution line, processes requests for service and durable medical equipment.
Prioritizes requested procedures based on urgency, combat veteran status, and compensations, and pension exams.
Provides advisory and technical assistance to veterans and staff in answering questions. Determines the nature of veterans' needs, questions, or complaints. Provides necessary information to the staff and the patient, dealing with a wide range of problems including atypical and complex situations.
Completes Community Care consults and scans all documents obtained into the Vista Imaging program assuring the corresponding report is linked to the appropriate consult, progress note title, and patient.
Refers to VA policies, procedures, laws, and regulations to determine eligibility for services through the Non VA program under 38 U.S.C. 1703.
Notifies patients of upcoming appointments via telephone call and/or letter and provides them with any restrictions that pertain to the requested exam.
Documents all actions of the Community Care consult and alerts providers and/or subordinates of scheduling changes, recommendations by private institution, refusal of procedure by patient and patient no show. Actively enters Community Care appointments in Healthshare referral management and VISTA.
Serves as a management advisor and resource person for the Medical Center and its Community Based Outpatient Clinics with the responsibility for performing a range of analytical studies and projects relative to the Medical Center's operations in the areas of management and productivity improvement, which includes effectiveness of work methods and resource utilization to the Non VA Care, Care in the Community, Choice First, PCS, or Community Care Programs.
Work Schedule: Monday-Friday, normal business hours

Specialized Experience: Must have at least one (1) year of specialized experience equivalent to at least the next lower grade, GS-5, level in Federal service that equipped you with the particular knowledge, skills and abilities to perform successfully the duties of the position, and that is typically in or related to the position to be filled. Specialized experience includes: proven ability to apply rules, regulations, guidelines, policies, procedures, and other administrative laws governing the provision of medical benefits; knowledge of computer systems for the entry of data in the system to be used by staff in assessing eligibility throughout the facility; effectively communicate, orally and in writing, with a wide cross section of people possessing varying levels of understanding and comprehension; gathering data and statistics for studies reports and surveys; effectively and skillfully perform medical administration duties and to orient and instruct professional staff in administrative clinical functions; knowledge of patient scheduling, ancillary testing, referrals, and consultant procedures; knowledge of medical terminology, and medications and diagnosis; technical skill in the use of personal computers, including word processing, spreadsheet, graphic reports and data base software.
