The Program Support Assistant position is located in the Neurology Service at the Nashville campus of Tennessee Valley Healthcare System (TVHS). The Program Support Assistant provides administrative and technical support to the Neurology Service Chief, the Assistant Chief, the Administrative Officer, the Residency Program Director, Sleep Director, Stroke Director, Neurophysiology Director and over 40 Neurology Service providers and staff members.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Major Duties and Responsibilities Includes: Supports clinic operations, including all aspects of clinic set up, cancellation, modification, and usage. Performs work involving collecting, reporting, analyzing and/or tracking of data and program operations and recommends improvement where necessary. Monitors clinic capacity and usage and monitors the flow of the Neurology Service. Oversees the Electroencephalogram and EMG clinic on a daily basis, including ensuring each provider has all clinical supplies needed for their clinic room, ensuring the Clinical Procedure (CP) User program is accurate, running the daily patient report and checking in Veterans and confirming the accuracy of insurance, address, and contact information. Monitors daily functions of all assigned areas, including but not limited to performance measures, electronic wait lists, consult review, RTC (Return to Clinic) order review and open encounters. Receives visitors and phone calls from people of all levels and ascertains the nature of the call or visit to direct to the person or call to the appropriate person or section. Checks in patients for providers and technician. Serves as the sole administrative support for the Neurology Service, Nashville campus providing assistance to the Chief, Neurology, as well as all clinical staff within the service. Serves as timekeeper for Neurology service, maintaining time and attendance reports for all staff. Prepares correspondence, forms, and reports, and makes arrangement for travel, including preparation of travel requests/orders, vouchers, and accommodations for official travel. Performs other related duties as assigned. Work Schedule: Monday - Friday, 7:30 a.m. - 4:00 p.m. Recruitment & Relocation Incentives: Not authorized Financial Disclosure Report: Not Required

Qualifications

All qualification requirements must be met by the closing date of the announcement. In accordance with 38 U.S.C. 7402(d), No person shall serve in direct patient care positions unless they are proficient in basic written and spoken English. You must be proficient in basic written and spoken English in order to meet the requirements of this position. In addition to meeting the language proficiency, applicants must also meet the following: GS-6 Specialized Experience: One (1) year of specialized experience to perform the duties of this position. To be creditable, this experience must have been gained to at least the equivalent of the next lower grade level of GS-5 in Federal service. Specialized experience is experience performing administrative/clerical functions in a medical setting utilizing knowledge of standardized administrative practices and procedures; experience researching, interpreting, and applying regulations, policies and guidelines, and to evaluate and independently solve problems that arise during the performance of duties; and experience using a variety of computer software applications such as Outlook, Word, Excel, and PowerPoint to format correspondence, memoranda, and technical reports utilizing correct grammar, spelling, punctuation, medical terminology, clerical procedures, and office routine. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
