This position is located at the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), VA Medical Center, in the Nutrition and Food Services Department (N&FS) as the Program Support Assistant to the Nutrition & Food Service Director. The primary purpose of this position to provide a wide variety of administrative, clerical, and technical support to Nutrition and Food Service.
Duties
The VA Midwest Health Care Network advocates for a Whole Health System of care in each of the Medical Centers. Major Duties include, but are not limited to:
Performs work involving the collection, compilation, and /or tracking of data and statistical information in support of the NFS program operation
Keeps/types meeting minutes, agendas and reports
Performs office automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database, and/or graphics
Assures NFS employees are up-to-date and have met all mandatory training
Receives, schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public
Provides clerical contact support such as answering the telephone, referring visitors, or providing information about the office, its functions, and standard operating procedures, and similar information
Assists the Chief, Nutrition and Food Service and other managers in handling all Union and Human Resources correspondence and personnel management documentation
Schedules/completes/manages consults in compliance with existing policies and procedures
Assists the Chief, Nutrition and Food Service and other managers in handling all Union and Human Resources correspondence and personnel management documentation
Creates and manages suspense files to address disciplinary and union actions within strict time limits
Composes and prepares appointment confirmation letters and enters appointment data utilizing software programs
Schedules/completes/manages consults in compliance with existing policies and procedures
Remains in contact with Human Resources Management Specialists to assure that all actions are completed within time frames
Serves as official timekeeper for the site and maintains service record cards for all employees
Develops programs for monitoring employee time and attendance
Work Schedule: Monday - Friday, 7:30 am - 4:00 pm (work hours may be further discussed during interview process)

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/17/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to experience where you were responsible for providing administrative support; collecting, compiling and tracking data and information; processing documents and reports; establishing, updating and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; answering telephones, referring visitors, and providing information. Note: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.
This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.

Physical Requirements: The work area is usually an adequately lighted, heated and ventilated office of medical facility setting. The work environment involves everyday risks or discomforts that require normal safety precautions. The sedentary and may require some walking, standing, bending, carrying and/or lifting of light items like papers or books. The work requires light to moderate levels/times performing keyboarding to prepare correspondence.

Work Environment: The work is performed in a typical office setting, requiring the use of normal safety precautions necessary for an office environment. The work area is adequately lighted, heated, and ventilated.
