This position, Program Assistant (Office Automation), serves as the principal administrative, technical, and clerical support for the Division of Enforcement Litigation, Office of Appeals. The incumbent increases the efficiency of the Office by providing administrative and clerical support to the Supervisory Administrative Support Specialist/Office Manager and office staff.
Duties
As a Program Assistant (Office Automation) GS-0303-07, your typical work assignments may include:
Analyzing incoming material and prioritizing and identifying short notice, urgent, and special matters for supervisory awareness.
Maintaining case files by establishing and organizing documents, recording actions, updating all electronic case records and databases, and confirming case statuses with attorneys.
Receiving and processing requests for appeal extensions, monitoring and preparing reports on the status of expired or untimely extensions, and closing out any appropriate actions.
Responding to inquiries on the status of pending cases and forwarding any calls or inquiries to supervisors/management as necessary.
Preparing in draft and final form a wide variety of letters and other materials.

IDEAL CANDIDATE STATEMENT
The ideal candidate will be meticulous, work independently, and will be able to evaluate, prioritize, and forward and/or respond to inquiries and requests regarding case statuses and incoming correspondence. The candidate possesses high-level reading comprehension and writing skills to prepare reports and written correspondence. The candidate has excellent interpersonal skills, organizational skills, and time management skills. Experience with office automation systems (i.e., Microsoft Word, Excel, PowerPoint) and case management processing systems is desired.
MINIMUM QUALIFICATIONS
To be qualified for this position, applicants must have one year of specialized experience at the GS-06 grade level, which has provided them with the knowledge, skills, and abilities to successfully perform the duties of the Program Assistant (Office Automation), at the GS-7.
Specialized experience includes:
Compiling and organizing information obtained from files and records, policies, and case management systems to assist with case preparation; and
Utilizing an automated database management system to input, retrieve, monitor and maintain electronic case files; and
Performing a variety of technical and administrative functions using operational processes to ensure accuracy and compliance of daily tasks.

TYPING PROFICIENCY
This position requires the skills of a qualified typist. In addition to meeting the experience requirements, you must be able to type at least 40 words per minute based on a 5-minute sample with three or fewer errors. Your response to the typing skill question on the Assessment Questionnaire will be used in your qualification determination.
TIME-IN-GRADE REQUIREMENT
Applicants must meet time-in-grade requirements to be considered eligible. One year of experience at the GS-06 grade level or equivalent grade level of federal service is required to qualify for the GS-07 grade level.
NOTE: All current or former Federal employees must provide a copy of their SF-50 "Notice of Personnel Action" that indicates proof of status and time-in-grade eligibility. The SF-50 must include your position, title, series, grade, step, tenure, and type of service (Competitive).
