The Program Support Assistant is shared between the Support Services Division and the Division of Business Development in the Phoenix Area Office located in Phoenix, Arizona. The incumbent will work on functions necessary for the efficient management of an office and ranges from timekeeping, preparing travel orders/vouchers, to ordering and tracking equipment, supplies and services.

Duties

The incumbent greets all incoming (internal and external) customers in a friendly, professional manner. Incumbent receives requests and completes appropriate forms for building and parking access cards, bus cards, and keys The incumbent will be the primary sorter of incoming and outgoing mail for the Phoenix Area Office. Prepares daily outgoing mail and delivers to the maildrop at the COB. Creates commercial carrier (UPS/FedEx) shipping labels and prepares packages for pickup from our contract carrier by 4:00 PM daily). The incumbent Serve as the physical receiving agent verifying and accepting delivered goods, completing a Physical Receiving and Inspection Report for all incoming goods within prescribed time frames and consistent with all policies, laws, regulations, and guidelines. Communicate with team members, vendors, and delivery personnel to ensure accurate and timely delivery of all purchased supplies, equipment, and services. Comprehensive knowledge of the policies and regulations that pertain to administrative activities such as timekeeping, federal travel, maintenance and disposition of records, and purchasing

Qualifications

To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. For positions requiring positive education requirements, or if you are using education to meet all or part of the qualification requirements, you MUST submit a copy of your transcripts or an itemized list of college courses which includes equivalent information from the transcript (course title, semester/quarter hours, and grade/degree earned) in your resume. MINIMUM QUALIFICATIONS: GS-05: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Scheduling meetings, vehicle use, and conference room availability. Receives, refers, and interacts with staff and or customers within and outside the immediate organizational unit. OR; Successfully completed four (4) years of education beyond the high school level. Education is obtained from an accredited business, secretarial or technical school, junior college, college or university. OR; A combination of education and experience when combined fully meet the minimum qualifications for this position. Only education in excess of the first 60 semester hours is creditable toward meeting the specialized experience required. The total percentage must equall at least 100 percent to qualify for the GS-05 grade level. Must submit Transcripts. GS-06: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Performs office automation duties which include the preparation of ad hoc and reoccurring reports, forms, correspondence, and presentation materials which may include complex graphs, charts, and tabular material. Compiles, organizes and tracks program data which may include statistical information in support of the program operations You must meet all qualification requirements within 30 days of the closing date of the announcement. Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
