The incumbent will function as a Program Support Assistant to the Medical Director and Laboratory Manager in the Pathology and Laboratory Medicine Section within Clinical Support Service.
Duties
Duties include but are not limited to:
Submitting personnel actions on Pathology employees, residents, and without compensation (WOC) residents, as required by Veterans Administration policies.
Serves as timekeeper; maintains leave records; prepares related reports; and acts on own initiative to resolve problems related to employee's payment, when appropriate. Timekeeping is done for VA employees, contract physicians and residents.
Provides clerical and administrative support for all of the contract pathologists as well as residents.
Responds to requests for information concerning laboratory functions. As information or requests from visitors or from written material is received, will personally prepare responses from available material and knowledge. In the absence of the medical director, requests for information, will be routed to the laboratory manager, pathologist or lead technologists, as appropriate.
The incumbent is responsible for arranging conferences, i.e., location, scheduling, preparing an agenda and notifying members.
Schedules meetings and takes minutes for the following committees:
Receives incoming mail for the section.
Receives incoming telephone calls for the administrative offices and morgue, giving requested information using sound judgment and knowledge of laboratory policy.
The incumbent is authorized to give out administrative and clinical information to callers upon determination of their right to receive it
Responsible to the laboratory manager, residents and staff physicians for such matters as scheduling meetings, arranging for meeting places, equipment, and providing them with related background materials.
Schedules appointments and meetings for the medical director, as appropriate, based upon his workload and current issues of importance.
Prepares written correspondence, documents, and reports pertaining to the administrative and clinical functions/requirements of the section in final format, ensuring proper procedures have been followed, utilizing the hospital's VISTA computer system (word processing and patient data input and retrieval).
Incumbent has signature authority for receipt of supplies and payroll clearance.
Performs clerical checks for patient tests performed at the VA lab and at referral labs.
Responsible for providing program support assistance to other sections in need within Clinical Support Service, with the duties in Pathology and Laboratory Medicine Section maintaining a priority status.
Assists the lab manager and supervisors with invoice verification. Uses VistA, CPRS and laboratory sources to check invoice accuracy for referral testing and blood contacts.
Work Schedule: 6:00am - 2:30pm Monday - Friday

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/21/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Payroll and timekeeping; taking meeting minutes; scheduling and arranging meeting times, location and materials; preparing written correspondence, documents and reports; and communicates effectively with a wide variety of individuals at all levels within an organization

Physical Requirements: The work requires long periods of sitting while typing at a CRT terminal, which can be quite demanding causing eye strain, strain on the back, neck and shoulders. There is also some walking and standing required.
