The Program Assistant provides appropriate program assistance to Nursing Service of North Florida/South Georgia Healthcare System (NF/SGVHS), The assistance will be provided to Nursing Leadership between the two medical centers within the healthcare system.
Duties
Provides assistance to the Nursing Leadership in performing analyses and/or evaluation of operating program characteristics. Duties include, but are not limited to:
Analyzes data between several data bases
Types memos and minutes for the service
Answers phone and routes messages to the appropriate person
Handles multiple projects at one time
Collects data for Nursing Service
Enters data into excel spreadsheets
Runs reports for the service
Maintains accurate records for the service
Covers other Program Support Assistants within the Patient Care service
Schedules meetings and rooms
Manages calendar for immediate supervisor
Performs Timekeeping duties for service as assigned
Orders supplies and equipment
Submits work orders, IT, and supervisors follow up.
Updates chemical inventories, labor mapping, position listings, live process, e-mail groups, cascade call list, etc.
Maintains accurate records for service including but not limited to: Action items, Awards, 4-Cast, Peer review, Proficiencies, and others as assigned
Supportive to the Nurse Managers in the Critical Care Nursing Department
Controls PIV access and key control of the Critical Care Nursing Department
Work Schedule: Monday - Friday 7:30 AM - 4:00 PM

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/21/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Receives visitors and telephone calls for internal and external customers and independently makes referrals based on inquiries.
Composes, edits and reviews correspondence and presentations ensuring format, completeness, and accuracy.
Uses office automation systems and various Microsoft Office packages and programs to accomplish work. May utilize various VA specific programs such as VATAS, 4Cast, AcuStaf, and HR Programs.
Research, collect, compile, and generate reports for Annual and ad hoc reports, and leadership; for comparison and status purposes.
Processes incoming and outgoing materials such as correspondence, reports, memorandums, action items, bulletins, and other forms of written communication with the ability to decipher importance.
