The Phoenix VA Health Care System is recruiting for two (2) Program Support Assistant, in the Education Service. This position supports the Designated Education Officer, and Health Professions Education Manager in establishing, maintaining, and evaluating the quality of Health Professions Training programs, and the quality of care delivered by Health Professions Trainees (HPTs) at the Phoenix VA Health Care System.

Duties

The Program Support Assistant position coordinates administrative, clerical, and support services to assist the Health Professions Education Office (HPEO) in fulfilling requirements related to VHA's academic mission and program requirements of accrediting bodies. The major duties and responsibilities include but are not limited to: Serves as the owner and manager of office mail groups, executive correspondence control, liaison, special projects, timekeeping, scheduling and managing calendars. Prepares and tracks documents and correspondence to coordinate actions and close action items. Monitors, reports, and acts on suspense items, accreditation standards, and budgetary requirements. Oversees logistics, planning and preparation for Health Professions Education Office (HPEO) meetings. Provides administrative orientation and training to new employees within Health Professions Education Office (HPEO). Provides customer service to staff members throughout the organization, including service chiefs, supervisors, program officials, finance and accounting, and other management, clinical staff, and Health Professions Trainees (HPT) within VA including central office. Provides customer service to affiliate academic institutions, business executives, private institutions, educators, accreditation and regulatory bodies, and vendors. Responds to time sensitive requests within established timeframe, and initiates actions to resolve identified problems leading to improved office productivity. Assists management and supervisors with human resources (HR) processes, catalogs actions and paperwork. Assesses management techniques, processes, and styles for improving organizational effectiveness. Assists in the formulation and execution of budget estimates and assists with preparing and updating the budget spreadsheets, which are used in budget briefings. Oversees paid and Without Compensation (WOC), Health Professions Trainees (HPT), employees, executive facility management, and academic affiliates actions and processes. Work Schedule: Monday - Friday: 7:30 am - 4:00 pm Compressed/Flexible: Not Available. Telework: Telework will be available 1-2 days per pay period. Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/18/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience GS-6: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: administrative and clerical duties, prepares spreadsheets, coordinates meetings, and provide customer service to internal and external customers. Specialized Experience GS-7: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: administrative and clerical duties, prepares spreadsheets, coordinates meetings, and provide customer service to internal and external customers. You will be rated on the following Competencies for this position: ClericalCustomer Service (Clerical/Technical)Decision Making Preferred Experience: Knowledge and/or experience in medical education, undergraduate medical education, Associated Health programs, Health Professions Education, and/or continuing medical and professional education. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Typically, the incumbent may sit comfortably to do work, however, there may be some walking, standing, bending and carrying of light items like paper or books. No special demands are required to perform the work. Work Environment: The work environment involves everyday risks or discomforts and requires normal safety precautions typical of such places and offices, meeting and training rooms, libraries, or commercial vehicles. The work area is adequately lighted, heated and ventilated.
