This position regularly attends meetings and participates in discussions and planning regarding workload, time targets and priorities for OEEO case file processing, staff utilization, implementation. This position is in the Office of Equal Employment Opportunity (OEEO). The incumbent is responsible for development, implementation, and execution of all internal office procedures and coordination of administrative and support functions.

Duties

As an Administrative Support Specialist, your typical work assignments may include: Assisting in implementing and preparing plans, which include such aspects of administration of facilities, space, manpower, fiscal requirements, training, and reporting. Coordinating the daily operations; internal methods, and procedures of the office Serving as office manager with responsibility for coordinating several administrative activities, and for coordinating the work of the staff Maintaining records, files and documents for the office. Coordinating monthly status meetings and ensuring agency officials are made aware of the agendas. Serving as a consultant and advisor to the Director and other officials; attends meetings and participates in policy and program discussion. Preparing and coordinating the process of a variety of documents using a variety of office automation software.

Qualifications

The Ideal Candidate for the Administrative Support Specialist position has strong organizational, multitasking, and detailed oriented skills. The candidate also has advanced knowledge in computer software such as Microsoft Office Suites (Word, Excel, PowerPoint, etc.,), experience with office procedures, and excellent interpersonal, writing, and communication skills. SPECIALIZED EXPERIENCE GS-9 Applicant must have one year of specialized experience equivalent to the GS-7 grade level that has equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the GS-9, Administrative Support Specialist, and that is typically related to the work of the position to be filled. Experience assisting with managing and implementing administrative processes to improve the efficiency and timeliness of operational functions of a program or organization; Experience performing clerical and administrative support duties such as preparing and reviewing outgoing correspondences; record and file maintenance; making travel arrangements and Experience utilizing Microsoft Word, Excel, PowerPoint and/or other software applications and databases to produce letters, reports, and charts. OR Education Master's or equivalent graduate degree, or two full years of progressively higher-level graduate education leading to such a degree or LL.B. or J.D., if related. OR Combination A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100 percent .(NOTE: You must submit a copy of official transcripts.) GS-11 Applicant must have one year of specialized experience equivalent to the GS-9 grade level that has equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the GS-11, Administrative Support Specialist, and that is typically related to the work of the position to be filled. Experience researching and analyzing concerns and developing recommendations related to administrative procedures, Experience researching and providing mission related information to customers, including internal Agency personnel; Experience gathering and providing Equal Employment Opportunity information to aggrieved individuals and/or complainants, employees supervisor to assist with reporting and/or cases; and Experience assisting with or preparing a variety of EEO reports to ensure yearly reporting mandates are met. OR Education: Ph.D. or equivalent graduate degree or 3 full years of progressively higher level graduate education leading to such a degree or LL.B. or J.D., if related from an accredited college or university. (Note: You must attach a copy of your transcripts.) OR Combination: You may qualify by a combination of experience and education. To combine education and experience, the total percentage of experience at the required grade level compared to the experience requirement, as well as the percentage of completed education compared to the education requirement must equal at least 100 percent.
