The incumbent serves as the administrative assistant to the Chief, Physical Medicine and Rehabilitation Service and the Administrative Service Officer in the Physical Medicine and Rehabilitation Service. This position is organizationally matrixed with the Physical Medicine and Rehabilitation (PM&R) Service at the Jack C. Montgomery Veterans Affairs Medical Center (MVAMC), and the Ernest Childers VA Outpatient Clinic (ECVA).
Duties
Duties:
Perform work involving consult management, PMRS service appointment scheduling to include collecting, compiling, and tracking data and statistical information in support and PMRS service access flows.
Monitors areas of access and assists providers with scheduling functions, consult tracking, completion of encounter, discharge summaries, clinic utilization, action required and operation reports.
Plans and provides support services in the areas of clinic creation and clinic utilization to supply reporting functionality to national surgery office.
Maintains automated systems of program-specific data to track items as consults, clinic utilization, encounters, performance measures and trends.
Collects, compiles, and tracks data in support of PMRS services clinics access.
Monitors budgetary requirements to include equipment, supplies, and space utilization surveys
Serves as secondary timekeeper for service. Maintains and posts entries for automated timecards, ensures proper posting of tours, on call and premium pay. Verifies sick/.annual leave use. Reviews for appropriateness for approval by AO or chief. Notifies chief of available staff on a daily basis.
Maintains and Disposes of Records according to regulations
Serves as secondary ADPAC for service ensuring each employee has signed current information security agreements. Enters appropriate electronic requests (E-PAS) for service staff, rotation residents, and students for primary menus, security keys and various access. Ensures deactivation of menus are accomplished after departure of staff.
Resolves minor technical issues with computer software applications, telecommmunications matter. ETC.
Educates staff in the proper use of the electronic record to include internal consultations processes
Understands and interprets a variety of local, federal, and state laws policies, procedures as well as standards and regulations from external accreditation organizations
Assists with responses to patient advocate issues to include congressional responses as needed.
Communicates verbally and in writing with diverse internal and external customers in a professional and courteous manner.
Work Schedule: Monday - Friday (8:00 AM - 4:30 PM)

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/16/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
You may qualify based on your experience as described below:
Specialized Experience GS-07: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: serving as primary timekeeper, directing preparation of recurring reports and assisting with special assignments; assisting in preparation of non-recurring reports; compiling statistical data for recurring reports and audits; receiving, logging and processing all reports to the patient's electronic medical record; generating supplementary pathology reports to update patient files; assisting in preparation and process of fee basis procedures; assisting in preparation and distribution of service policies and numbered memoranda; entering and editing data as the TMS coordinator; receiving calls, greeting visitors, directing staff members; receiving/distributing mail, preparing routine replies; arranging travel; maintaining supervisor's calendars; arranging meetings, preparing reports and correspondence; purchase card holder.

Physical Requirements: Incumbent will be exposed to stressful working situations that will require a mature attitude and collective reasoning to overcome. The incumbent is subject to a great deal of stress because of the high volume of work, the demands from various clinical skilled staff, the need for accuracy, emergent needs of the Service and employee, frequency of interruptions, and ever-changing demands due to program changes. The works requires no special physical demands. It may involve some walking, standing, bending, or carrying of light items.
