Performs operational and administrative duties for a multi-faceted and complex organization, with a system of formal internal procedures and administrative controls. Ensures that requirements for handling sensitive and/or classified material are accurately followed. Establishes, directs and monitors work schedules, work assignments and general performance guidelines for a staff of 4-7 region and installation administrative support personnel.
Duties
Serves as the Executive Assistant for the FFR N9 Director.
Plans and executes a variety of administrative functions, to include but not limited to, preparing and reviewing correspondence, preparing briefs and charts; developing reports; maintaining executive calendars; making travel arrangements; copying, fax and scans; and tracking suspense items.
Establishes, directs and monitors work schedules, work assignments and general performance guidelines for a staff of 4-7 administrative support personnel.
Requirements
- Must be able to complete a background check and maintain suitability for Federal employment.
Must have a valid driver's license to operate a government vehicle.
Qualifications
Must have the ability to communicate effectively both orally and in writing and ability to make presentations in order to effectively represent the organization on pertinent issues.
Must have excellent customer service and interpersonal skills.
Must be able to manage competing priorities under strict deadlines, while maintaining a high level of attention to detail.
Must have ability to exercise discretion.
Must have ability to exercise tact and diplomacy in coordinating visits and greeting senior executives form inside and outside the Agency. Knowledge of protocol procedures for VIP visits preferred.
Must have ability and skill to work effectively with various levels of employees.
Expert skills in computer applications and knowledge of a variety of software programs and web-based programs (e.g., Microsoft PowerPoint, Word, Excel, Outlook) is required. Incumbent must have a working knowledge of computer hardware and software used in modern business practices.
Knowledge of Navy program goals and objectives, federal and navy policies, statues, requirements and policies relative to FFR, including one or more of: Fleet Readiness (MWR, Galleys and Lodging), Family Readiness (FFSP), Housing, or Wounded Warrior is preferred.
Knowledge of management principles, practices and techniques to provide administrative services to the organization, analyze administrative practices and recommend improvements in administrative procedures and policies.
Knowledge of Federal travel regulations governing authorizations, entitlements and allowances.
Familiarity with information management regulations and records management related to correspondence, mail, publications and filing.
