The Bay Pines Medical Center is a large campus comprised of 20 major buildings containing over 2,000,000 square feet of space. Individual will perform programmatic, administrative/secretarial duties in support of the Facility Management Service. He/she works with key Project Engineers and Technicians, shop supervisors, Administrative Officer under the Office of the Chief & all organizational levels of the Medical Center.
Duties
Major duties include but is not limited to:
Provides programmatic, administrative and secretarial assistance to the Facility Management Service and as needed to the Administrative Officer.
Obtains, organizes, files, and retrieves reports, correspondence, and numerical data for use in preparing status reports, briefings, and presentations. Knowledge and skills in Microsoft Office package and AutoCAD is preferable.
Determines potential problem areas and makes recommendations to correct these areas and to improve coordination between the various work units and/or offices.
Identifies and recommends ways of eliminating, combining, simplifying, or improving procedures and processes and performs a variety of administrative tasks associated with maintaining and supporting the work performed within an organization.
Performs work in support of purchasing and or procurement of services, products, supplies, and/or equipment requiring a practical knowledge of applicable operations, procedures, programs, policies and regulations.
Attends meetings, prepares minutes of meetings, and follows up on action items with appropriate staff members independently.
Schedules appointments, coordinates meetings, and/or schedules conferences.
Assist with Key control, work orders, emergency calls and timekeeping.
And other related duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/31/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Gathering and formatting data to create charts, graphs, dashboards and presentations; experience using Vista FileMan; proficiency using Microsoft Excel; creating 2237's and contracting packages; basic knowledge of VA budget/purchasing procedures, rules and regulations.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work requires no special physical demands. It may involve some walking, standing, bending, or carrying of light items.
