Employees in this assignment serve in a Lead position within the Clinical Section of Nutrition & Food Service Line. The Lead MSA is responsible for daily workload assessments, assigning work, and assuring proper staffing coverage; evaluating training records; and determining training needs of scheduling personnel to provide support across interdisciplinary settings.

Duties

Duties include but are not limited to: Assignments at this level include, but are not limited to: ensuring accurate and timely scheduling of appointments; providing guidance to staff members, to include changes in policies and procedures; and creating and maintaining employee work schedules. Acts as a liaison among patients, interdisciplinary staff, and scheduling staff including Advanced MSA and PSA, to resolve day-to-day conflicts. Serves as the scheduling liaison to other programs throughout the health care system for scheduling coordination, including MOVE Nutrition, Spinal Cord Injury Nutrition, Renal Nutrition, Diabetes Nutrition, GI Nutrition, Anti-inflammatory Nutrition, and all other programs with embedded Nutrition Clinic Services. Provides staff development and training. Supports quality improvement through individual, committee or team participation, collection of data, and evaluation of processes in order to promote positive outcomes. Generates reports on encounter errors and communicates issues with appropriate personnel as indicated. Manages Nutrition consults per VA policies, and forwards the consult if appropriate; telephones the patient to schedule the appointment, mails out pre-appointment letters as appropriate Utilizes Secure Messaging and VEText systems as indicated. Serves as primary timekeeper for clinical section and back-up timekeeper for other T&Ls in NFS. Knowledge of rules and regulations related to the pay system for employees regarding premium pay. Maintains files as required by regulation of physician's statements, jury duty, military orders, SF-71s and approved memos supporting different types of leave Uses initiative and executes tasks independently within governing rules, regulations and established administrative guidelines. Handles conflict and problems in dealing with the customer constructively and appropriately Protects sensitive and electronic files that must be safeguarded under the provisions of the Privacy Action of 1974 and other applicable laws, federal regulations, VA statutes and policy, and VHS policy. Co-leads special projects including management of database for Produce Prescription Program Recipients. Qualifications

Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j. Experience. Six months experience of clerical, office, [customer service], or other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, Education. One year above high school; OR, Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. Grade Determinations: In addition to the basic requirements, completion of 1 year of progressively complex experience equivalent to the next lower grade level directly related to the position being filled which demonstrates knowledge, skills, abilities and other characteristics that are directly related to the specific assignment. For GS 7, completion of 1 year of experience equivalent to at least the GS-6 level and directly related to the position being filed. Preferred Experience: One year of experience equivalent to the GS-06 grade level. References: VA Handbook 5005 Appendix G45 The full performance level of this vacancy is GS-07. The actual grade at which an applicant may be selected for this vacancy is GS-07. Physical Requirements: The work required does not inherently include any physical requirements essential for successful job performance that could not otherwise be performed with accommodation or workplace adjustment. A pre-placement physical examination is not required.
