The Supervisor for the Advanced Medical Support Assistant staff is assigned to Medical Service's Specialty Clinics and will coordinate the administrative and clinical activities. The incumbent will interface with personal computer (PC) applications as well as numerous Vista applications.
Duties
Duties include but are not limited to:
The incumbent must possess advanced organizational skills and work effectively with staff and patients from diverse backgrounds. Incumbent must have working knowledge of VA terminology, appropriate and applicable laws, policies, and guidelines.
Through monthly staff meetings and individual counseling, ensures that the employees are properly informed of all pertinent directives and station policies and procedures.
He/she willingly accepts additional and special assignments that are necessary to meet program goals or customer needs
Uses word processing software to execute several office automation functions such as storing and retrieving electronic documents and files; activating printers; inserting and deleting text, formatting letters, reports, and memoranda; and transmitting and receiving e-mail.
Uses the Veterans Health Information and Technology Architecture (VistA) and Computerized Patient Record System (CPRS) for patient care documentation.
Provides the customer with consistent information according to established policies and procedures.
Handles conflict and problems in dealing with the customer constructively and appropriately.
Employee plans and organizes work with general assistance from the supervisor to meet local and VA-wide time frames to complete analysis requirements, reports and special assignments and only refers to the non-routine and high technical problems to his/her supervisor.
Responsible for maintaining the confidentiality of information obtained to carry out required duties.
Makes recommendations and implements administrative and operational policies and procedures to improve the quality of services provided by the Advanced MSA staff with the Specialty Clinics.
The Supervisory MSA functions as the first-level Supervisor. He/She make recommendations for appointments, promotion, and reassignment within the Medical Service. Incumbent will also meet AFGE for first step Grievances.

Qualifications
Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
English Language Proficiency: MSAs must be proficient in spoken and written English in accordance with VA Policy.
Grade Determinations: In addition to the basic requirements above, all applicants must also meet the following grade requirement for a Supervisory Medical Support Assistant, GS-0679-8. Applicant must have one (1) year of experience equivalent to the GS-7 grade level and also be able to demonstrate the KSAs listed below:
i. Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.
ii. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations.
iii. Ability to provide briefings, orientations, staff development, and training in a patient support setting.
iv. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.
v. Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

The full performance level of this vacancy is GS-8. The actual grade at which an applicant may be selected for this vacancy is in the range of GS-8.
