The purpose of the work is to provide administrative/ clerical support to the Suicide Prevention Coordinators and Outpatient Mental Health leadership. The Program Support Assistant will analyze data extracts, complete data compilation and collection, assist in preparation of reports, and offer program support and administrative assistance to the Suicide Prevention Coordinators and Outpatient Mental Health leadership as needed.

Duties

Duties include, but are not limited to: Data Collection. & Tracking Support: Generates a variety of reports intended to assist the Suicide Prevention program monitor and maintain appropriate care and coordination for high risk veterans. Coordinates incoming data from a variety of sources. Reviews documents, reports and ensures data entry is complete and accurate. Maintains automated system of program-specific data to track items such as project progress reports, compliance strategies etc. Prepares, executes and/or tracks program specific information which includes, but is not limited to, high risk patient monitoring lists and monthly suicide attempt and completion reports. Prepares reports to assist with compliance monitoring for completion of the Behavioral Health Suicide Risk Assessment, and Behavioral Health Enhanced Care and Safety Plan, which are reported to the facility as well as network leadership. Uses software applications to draw information to prepare/assist in preparation of reports. Assists in the planning, review and reporting of data/statistical results of program/project studies as needed. As requested, generates reports to assist Outpatient Mental Health (MH) programs monitor and maintain appropriate care and coordination for other veterans. Patient Tracking/Data Base Maintenance: Incumbent is responsible for assisting with tracking of all veterans seen as part of the Suicide Prevention program. May maintain and manage databases which contain a wide variety of veteran specific information. Ensures that all information is up to date and complies with routing reports which are required by VISN and Medical Center Director. Assists SP staff with preparation and submission of any other required forms/information. Assists SP and other administrative staff with the SP mailing outreach program. Assists with maintenance and management of other Outpatient MH databases as requested. Research/Program Resources Services and Support: Performs work related to the acquisition and/or development of program information and resource materials/personnel to support the policy development and/or technical activities of the organization. Assists with special research projects in support of the policy development and/or technical /program activities. Assembles materials needed for outreach and education activities. Assists in the acquisition, development and/or scheduling of program resource materials and personnel, such as hard copy and computer?-based brochures and reports, agency staff and/or volunteer personnel, and/or needed program equipment such as telephones, computer and printers, fax machines etc. Maintains an orderly and adequate level of program supplies. Provides specialized support to professional staff, Program Lead, Coordinator and Network staff as needed. Performs a variety of administrative duties in support of medical center programs regarding the Suicide Prevention Program and Outpatient Mental Health. Provides Administrative Assistance for Case Management: Provides assistance to professional and other staff members. Performs proficient clerical and ADP support, ensuring appropriate administrative processes are maintained in the Suicide Prevention Program and Outpatient Mental Health. Maintains accurate paper and electronic files of cases. Compiles regular and special reports including minutes when requested. Arranges travel, order supplies, equipment, etc. Receives telephone and visitors in a prompt and courteous manner. Makes appropriate referrals. Information receptionist: Receives and directs callers, patients and visitors. Provides information about the organization as well as the Suicide Prevention Program and Outpatient Mental Health. Provides general telephone and visitor referral services. Directs patients, visitor and callers to appropriate staff member based on specific request or by ascertaining the nature of the call. Personally provides information of a routine nature. Inquiries vary widely and information given requires explanation of office functions, describing specific requirements, providing basic instructions or a similar degree of detail. Inquiries received require evaluation to determine the most useful and appropriate information, resolve inconsistencies in available information or provide alternatives. Correspondence Preparation: Prepares, composes or reviews correspondence prepared for the purpose of obtaining or supplying information. Composes general informational correspondence.? Manages correspondence related to the Suicide Prevention Mail Program for high risk patients and other correspondence as needed. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/02/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. GS-303-06 (Full Performance Level): To qualify for the GS-303-06 based on Specialized Experience: Qualifying specialized experience includes one year of specialized experience comparable to GS-05 which is directly related to the work of this position and which has equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of the position. For this position, specialized experience is defined as experience serving as a Program Support assistant performing administrative management functions, Knowledge of the theory and principles of management and organization including administrative practices and procedures common to organizations; -Skill in conducting interviews with supervisors and employees to obtain information about organizational missions, functions, and work procedures; -Knowledge of process required to track and provide an audit trail for an educational budget. -Knowledge of creating, maintaining, and implementing an internal audit system to ensure that the program is functioning within their allocated budget. -Ability to set up and utilize a process to track and provide an audit trail for educational related travel, including registration at educational meetings and conferences as well as other educational activities. -Knowledge of the capabilities and ability to perform advanced functions utilizing computers, various word processing packages, spreadsheets, and database programs utilized in a business setting, e.g., Microsoft Excel, Word, Outlook, and SharePoint; Adobe Acrobat and Front Page and/or Word Press and/or HTML/XML. OR To qualify for the GS-303-06 based on Education: As a general rule, education is not creditable above GS-5 for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position. For the GS-6, applicants must have successfully completed Six months of graduate education in a degree program directly related to the work of the position as a substitution for specialized experience. Qualifying graduate coursework includes: Business Management, Telecommunications, Information Technology, or comparable major of study. This education must have been obtained in an accredited college or university. Transcripts (unofficial) are required at time of application. A transcript or course listing must be submitted if you are basing all or part of your qualifications on education. Applications submitted without this information will not be considered. Such education must demonstrate the knowledge, skills, and abilities necessary to do the work. An academic year of graduate education is considered to be the number of credit hours that the school attended has determined to represent 6 months of full-time study. This determination is made based on normal course loads for a full year of study in the graduate program. If that information cannot be obtained from the school, 9 semester hours or 27 quarter hours should be considered as satisfying the 6 months year of full time study requirement. Part-time graduate education is creditable in accordance with its relationship to a year of full-time study at the school attended. When academic credit is expressed in contract months, units, or other terms that differ from conventional semester or quarter hours, it is the responsibility of the applicant to provide an interpretation of such credits from the appropriate institution in order to equate them to the semester or quarter hours specified in the standard. OR To qualify for the GS-303-06 based on combination: Applicants may also combine education and experience to qualify at these grade levels. Combinations of successfully completed post-high school education and experience may be used to meet total qualification requirements and may be computed by first determining the applicant's total qualifying experience as a percentage of the experience required for the grade level; then determining the applicant's education as a percentage of the education required for the grade level; and then adding the two percentages. The total percentages must equal at least 100 percent to qualify an applicant for that grade level. When crediting education that requires specific course work, prorate the number of hours of related courses required as a proportion of the total education to be used. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required. Work is typically performed in an adequately lighted and climate-controlled office.
