This position is located in the Primary Care Service of the Eastern Colorado Health Care System (ECHCS), reporting to the Administrative Officer, Deputy Associate Chief of Staff, Primary Care (DACOS) and the Associate Chief of Staff, Primary Care Service (ACOS). The paramount function of this position is to provide administrative support to the ACOS and other ECHCS Primary Care Service staff in their mission to serve our Veterans.

Duties

Duties include but are not limited to the following: Builds and maintains schedules for residents, physicians, and nurse practitioners in Primary Care Clinics and Outpatient Based Medical Team (OBMT) Clinics The incumbent coordinates all resident schedules with the representatives of the University of Colorado School of Medicine as well as will the Education Service within the VA. Works across services in assessment to determine space needs, demand management, and optimal use of space through more sophisticated scheduling practices. Coordinates providers' schedules with space and resident schedules. Supports clinical schedule interface with space scheduling system compatible with VHA software and requirements. Supports structure for schedules as needed. Maintains patient data in support of the clinical activities using the CPRS/VistA system. Forwards reports and correspondence to appropriate clinical staff within the ECHCS. Assists with schedules through utilization of CPRS/VistA and SharePoint applications. Maintains a system for receiving all incoming phone calls, relaying information, and providing assistance with office records, schedules, etc. to the Administrative Officer and Chief of Primary Care. Consults are updated and closed out appropriately. Serves as an administrative liaison between the ACOS, DACOS, and the managers within the service as well as all the employees in the service and other services and leadership in the ECHCS. Assists the ACOS and DACOS throughout each day in responding to a variety of issues and helps to resolve non-clinical issues. Assists in maintaining the calendar for the ACOS and DACOS with complete authority for coordination of commitments of time and meeting requests. Assists with screening all calls and visitors, answering all questions and inquiries with the exclusion of clinical issues which are referred appropriately. Acts independently in creating informational emails and flyers regarding top priority issues such as the Personal Identify Verification (PIV) Card process, phone tree, timekeeping, etc. Works with the Office of Information and Technology (OI&T) and Health Informatics staff on identifying problems and deviations in system use. Uses established guidelines to correct problems and requests are entered to delete any menus or security keys no longer needed. Supports user problems/concerns and attempts to resolve and difficulties. Identifies and refers more completed or serious problems and inquiries, requiring detailed analysis or extensive system modification, directly to the Health Informatics team and/or IT or through the ACOS or DACOS. Serves as back up to other Primary Care staff within scope of abilities. Assists with processing incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication. Performs the following types of duties: edits letters, composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard or form letters and replies to inquires. Develops background information and prepares outlines for the supervisor's presentation, papers, and correspondence/reports. Prepares charts, graphs, and narrative information for management based on information provided by the Physicians, Nurse Practitioners, Supervisors, DACOS, and ACOS. Assists the Program Specialist in yearly inventory of all equipment and property and helps to resolves discrepancies on inventory list with actual inventory. Helps to plan and coordinate office moves. Enters FMS work orders as requested and as needed. Other duties as assigned. Work Schedule: 7:30 am - 4:00 pm Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/03/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience at the GS-07: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing administrative support to a medical office, knowledge of VA directives, memorandums, regulations; building and maintaining schedules for residents, physicians, and nurse practitioners; maintaining patient data. Physical Requirements: The work places no special physical demands on the employee. The work includes some walking, standing, bending and carrying of light items such as paper and books.
