This position is located in the Chief of Staff service of the VA Eastern Colorado Health Care System (ECHCS), at Aurora, CO. The position reports directly to the Supervisory Program Management Analyst for Academic Affiliations. The primary purpose of the Program Support Assistant (PSA) is to provide administrative support to the service's Academic Affiliations section in support of Health Professions Trainee (HPT) in-processing, resident tracking and reconciliation processes.
Duties
Major duties include but are not limited to:
Collaborating with other Services to complete the pre-processing of Professional Trainees.
Communicating with trainees and the Affiliates, and Clinical Services to solve onboarding and offboarding issues.
Assisting the Program Analyst with all tracking and review activities leading to successful reconciliation and payment of all invoices.
Checking documents for accuracy and prerequisites.
Using computer programs such as Excel, SharePoint, Adobe Acrobat Pro, MS Word, MS Outlook, MS PowerPoint, etc.
Tracking Academic Affiliations Agreements and Training, Qualifications, Credentialing Verification Letters (TQCVLS).
Managing all the administrative functions of each element of pre-processing Health Professions Trainees (HPT) necessary and determines the steps needed for each HPT.
Supporting of all fiscal functions, as necessary, including Resident Tracking and establish and adjust purchase orders.
Charting and documenting compliance with all Key Performance Indicators (KPIs) for all Daily Management System (DMS) Huddles.
Managing all aspects of being an ADPAC to include submission of Mass Provisioning, individual provisioning requests, mailbox move requests, and Network Access Requests (NARS) to OI&T in a timely and accurate manner.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: Monday - Friday, 8:00am - 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/04/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
You may qualify based on your experience as described below:
Specialized Experience for the GS-06 grade: You must have one year of specialized experience equivalent to at least the next lower grade GS 05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Collaborating with other Services to complete the pre-processing of Professional Trainees. Physical Requirements: The work is generally sedentary and requires some carrying of light items such as notebooks and papers. No excessive physical demands are required. The incumbent must be able to move about freely to various locations throughout the medical center.
