About the Position: Serves as a Secretary (Office Automation) at the Defense Health Agency (DHA), Small Market and Stand Alone Organization (SSO) Medical Treatment Facility (MTF), West Point, NY.
Duties
Maintain supervisor’s calendar to include coordinating and schedules meetings and/or conferences for supervisor.
Prepare a wide variety of recurring and nonrecurring correspondence, reports, and other documents for the office or organization.
Utilize automated tracking system or software to track correspondence and establish/monitor suspense dates for actions within the office or organization.
Proof-read and edit correspondence for typographical and grammatical accuracy in accordance with format requirements.
Receive incoming calls with professionalism and diplomacy on behalf of executive leadership.
Review outgoing correspondence for grammar, administrative soundness, and general tone on behalf of senior leadership.
Serve as the contact for visiting military and civilian dignitaries, inspections, conferences, and individual office calls.
Schedule appointments, meetings, conferences, and briefings.
Requirements
- Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
- A Personnel Security Investigation is required.
- Selectees will be required to sign a statement (Condition of Employment) consenting to seasonal influenza vaccinations or must provide a recognized exemption.
- Immunization screening is required. Hepatitis B immunization is required for all positions with direct patient contact. Applicants may be required to show proof of other immunizations depending on the type of position.
- This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5-minute sample with three or fewer errors.
- Position has been designated “Mission Essential”. In the event of severe weather conditions or other such emergency type situations, the incumbent may be required to report to work or remain at work as scheduled to support mission operations.
- The work requires the employee to be able to work irregular tours of duty to include evenings, weekends and holidays or other schedules common to hospital operations, on an occasional basis or on an emergency basis, when necessary.
- Position required to perform approximately 5% TDY/travel.

Specialized Experience: One year of specialized experience which includes 1) Using strong interpersonal skills to receive telephone calls and visitors; 2) Perform executive level administrative functions such as maintaining supervisor's calendar and scheduling appointments. AND 3) Utilizing automated programs to perform administrative or clerical work. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06).

Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-06).

Education
