The Program Support Assistant serves as an assistant to the Administrative Officer (AO) for Mental Health Service (MHS) and is responsible for the management of a wide variety of Clinical Program administrative elements. The Program Support Assistant is responsible for assessing and managing a broad spectrum of situations and problems that arise daily, as well as preparing recurring statistical reports and performing data analysis.

Duties

Major duties include, but are not limited to: Administrative focal point for the program as regards operations management; including personnel staffing issues, funds control point/budget, workload adjustments, supplies, space arrangements, data collection, timesheets, and analysis, etc. Focal point for daily clinic operation management and for all reporting and other management information needed regarding the Clinical Program. Works closely with the clinicians in the Programs to assure that their needs are attended to. Cross-train other staff in the Mental Health Service to insure coverage. Collect and validate this service utilization data. Assures that a management information system is in place and routinely communicates pertinent data to clinic staff and other Medical Center entities. Prepares all recurring and nonrecurring reports and collects data necessary for those reports. For example, quality measures, budget request, and personnel appraisal. Routinely identifies the customer's situation properly and performs the tasks required to resolve customer's problem accurately and in a timely manner. Assists with the scheduling of physicians and other professional staff. Assures that the Clinical Program has the appropriate equipment, supplies, equipment repairs, space, etc., manages requests for services and resources needed by the Clinical Program. Analyzes the accuracy and adequacy of the Clinical Program's quality improvement reviews, including monitoring and evaluation of indicators and clinical pertinence chart reviews. Searches out and gathers information from a variety of sources, including other services, hospital administration, and the ROI VISTA database. Gathers data maintained on multiple databases, synthesizes, analyzes, and presents the data in a clear and logical format. Accurately enters patient demographic data and encounter form data, and other data as requested. Conducts annual equipment inventories and is responsible for tracking preventive maintenance and supply inventory control. Other duties as assigned. Work Schedule: Monday-Friday 8:00am-4:30pm or as determined by supervisor. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/03/2025. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work requires sitting, standing, and climbing stairs, as well as frequent walking through the Medical Center.
