The incumbent serves as an Executive Secretary in Patient Care / Nursing Service at this consolidated university-affiliated, tertiary care Medical Center. This Medical Center is a tertiary care facility made up of one (1) main campus, 13 community-based outpatient clinics (CBOCs), an Ambulatory Surgical Center, and free-standing Dialysis Center. The Medical Center is located in the University Circle section of Cleveland.

Duties

Major Duties: -The incumbent performs a wide variety of administrative, technical assignments and serves as the primary administrative person for the Associate Director of Patient Care Services. The incumbent supports the Associate Director of Patient Care Services and Senior Health Systems Specialist. The incumbent prioritizes the workload to meet the demands of the day-to-day operations of this complex service. The incumbent exhibits independence and initiative in accomplishing daily tasks. -Incumbent provides administrative support in all matters related to the Medical Center's Registered Nurse Professional Standards Boards. Develops schedules for meetings and boarding issues. -The incumbent analyzes data, creates and edits charts/graphs, identifies trends or deficiencies, prepares presentational material to include, power point presentations, graphs, spreadsheets, meeting agenda's, etc. Takes and transcribes meeting minutes, develops standardized documents. -The incumbent serves as service timekeeper for three (3) to ten (10) Time and Leave (T&Ls), posting time and attendance via VATAS/AcuStaf timekeeping system, for an average of 130-300 employees on a daily basis. Timecards are maintained for both Title 5 and Title 38 staff. Posting timecards requires flexibility, attention to detail and extensive knowledge of timekeeping directives, regulations, policies, and procedures. This includes data entry into VATAS/AcuStaf menu options. -The incumbent serves as the primary contact liaison on behalf of the Associate Director of Patient Care Services/Nurse Executive and Senior Health Systems Specialist. The incumbent ascertains the nature of callers/visitors, schedules appointments, meetings, makes appropriate referrals, communicates information to clinical/administrative staff, other services, internal and external entities, other facilities, VISN, VA National, colleges/universities, vendors, applicants, patients, family members, accrediting agencies, elected officials, etc. Work Schedule: Full time, Monday-Friday 7:30am-4:00pm Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/21/2025. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. SPF-Ability to type 40 words per minute You may qualify based on your experience and/or education as described below: GS-7 Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of administrative concepts and practices sufficient to enable the incumbent to recommend changes in administrative policies, devise and install procedures and office practices affecting subordinate organizations and foresee administrative problems and requirements. Skill in handling confidential information, and exercising initiative and judgment and make decisions within the scope of assigned authority. Knowledge of computer technology, statistical programs, and database management applications. Skill and knowledge of word processing, spreadsheet and desk top publishing. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work requires some physical effort such as standing, walking, bending, sitting, and carrying light to moderately heavy computer printouts, books, papers, and files.
