The primary purpose of this position is to manage the administrative programs and processes of the organization and serve as a liaison with force support/manpower/personnel offices and key program managers; additionally trains traditional reservists in all tasks of the position.

Duties

Manages execution of Publications and Forms Programs and all By-Law Programs. Performs work regarding planning and organizing all administrative activities and processes for the organization. Manages, prepares and maintains documentation concerning the administrative orders program. Monitors and directs the control of incoming and outgoing correspondence. Serves as the resident subject matter expert for all mandated administrative support programs. Performs other clerical and administrative work in support of the office/organization. Integrates a variety of software to produce final products.

Qualifications

Experience requirements are described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. Due to the use of 120-day rosters, this period of experience may be completed within 120 days of the closing date of this announcement. SPECIALIZED EXPERIENCE: Applicants must have at least one year (52 weeks) of specialized experience at the next lower grade GS-06, or equivalent in other pay systems. Examples of specialized experience includes applying correct knowledge of grammar, basic arithmetic calculations and formatting to accurately prepare and edit written correspondence and reports; managing data systems to improve the efficiency, effectiveness, and productivity of organizational programs; applying knowledge of various office automation software programs, tools, and techniques; applying an extensive body of policies and procedures governing the overall unit administrative operations; using standard processes and procedures for evaluating program efficiency to implement processes to improve programs; establishing, updating, and maintaining office procedures and records of various types; updating trackers or suspense files; and receiving and referring telephone calls and visitors. NOTE: Due to the use of 120-day rosters, this period of experience may be completed within 120 days of the closing date of this announcement. MUST BE ABLE TO TYPE A MINIMUM 40WPM. FEDERAL TIME-IN-GRADE (TIG) REQUIREMENT FOR GENERAL SCHEDULE (GS) POSITIONS: Merit promotion applicants must meet applicable time-in-­grade requirements to be considered eligible. One year at the GS-06 level is required to meet the time-in-grade requirements for the GS-07 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: 1. Knowledge of common clerical practices and office routines. 2. Knowledge of basic rules of grammar, spelling, capitalization, and punctuation, and of standard abbreviations. 3. Knowledge of format and clerical procedures to arrange a variety of material from different sources. 4. Skill in integrating a variety of types of software to generate products for a single purpose. 5. Skill in assessing personnel resource requirements. 6. Knowledge of personnel documentation and reporting procedures. 7. Knowledge of reserve programs and skill in scheduling for requirements. 8. Knowledge of official orders preparation instructions and procedures. 9. Ability to communicate effectively orally and in writing. using tact and courtesy. 10. Knowledge of processes used in the ordering and distribution of forms. 11. Thorough knowledge of the mission, functions and policies of the organization. 12. Knowledge of administrative and personnel processes. 13. Knowledge of civilian time keeping program, procedures, and instructions PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
