The position serves as a Program Support Assistant and is assigned to the Veterans Affairs Healthcare System, Specialty Care Services, Transplant Program. The position reports to the Administrative Officer, Transplant Program and provides services to support the Program Directors and Transplant Coordinators by performing clerical work pertaining to the administrative aspects of transplant related operations and management.

Duties

Major duties include but are not limited to: Organize work, set priorities and tasks/responsibilities in order to meet deadlines. This includes the ability to follow-up on pending issues and demonstrating an understanding of the impact of incomplete work. Communicate with individuals in order to obtain the desired effect, ensuring compliance with established policies and procedures. Prepare correspondence, memorandums, official letters, etc., in response to requirements/ tasks on behalf of the section. Provides clerical support to the Specialty Care Transplant Program Directors and Transplant Placing and receiving calls, scheduling appointments, and organizing Veterans/Caregiver Travel and employee conferences as required. Assists in assessing and tracking workflow of Transplant Coordinators and Clinicians helps adjust to ensure adequate workload capture Helps to modify and resolve operational and systemic problems within Transplant. This involves uncovering critical elements pertaining to the problem, analyzing these elements, and making recommendations to the Directors regarding potential solutions to improve service delivery and operations. Serves as a timekeeper for the Nashville Transplant Program T&Ls. Maintains an up-to-date VA policy manual on time and attendance and disseminates any new changes to the regulations to staff as required. Records and prepares minutes of staff meetings and other meetings and work groups as required or assigned by the Supervisor. Collects, analyzes, tracks, organizes, and interprets various data/questionnaires. Knowledge of the purpose, operation, methodology and techniques of VHA National Surgery Office (NSO) for assignments Work Schedule: Monday- Friday, 7:30 AM - 4:00 PM Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/31/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Examples of appropriate SF-50's include Within grade increases at the higher grade held: or Promotions with an effective date more than one year old; or SF-50's at the highest grade held with an effective date more than one year old. Specialized Experience GS-06: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to assists in assessing and tracking workflow of Coordinators and helps adjust to ensure adequate workload capture. Assist with developing and coordinating graphics requirements, including databases, tables and spreadsheets to complement communications materials. Takes minutes during meetings with prospective and existing community collaborative partners. Assists Coordinators with travel arrangements. You will be rated on the following Competencies for this position: Administration and ManagementAnalysis and Problem SolvingInformation Management Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is mostly sedentary but requires standing during presentations or training; may require some walking, bending, stretching and carrying objects such as files/binders. Work also requires spending time performing keyboarding duties.
