This position reports to Social Work Service (SWS) at the VA Northern Indiana health Care System (610) serving Fort Wayne, Marion, and Mishawaka IN care sites. The incumbent works with Social Workers who work across multiple program areas throughout the Medical Center with particular emphasis working in support of homeless Veteran programs provided within SWS.

Duties

Duties include but are not limited to: Provide a wide variety of administrative support and clerical tasks associated with supporting work performed in Social Work Service. Serve as the primary fund control point (FCP) clerk for Homeless Program FCP's. Research all policies, procedures, and other published documents as they pertain to Homeless Veteran Programs, to stay abreast on local, VISN and National guidelines. Track distribution of Homeless Program resources such as cellular phones, move-in kits, hygiene kits, and other donated items. Serves as a service representative for Tracks patient admissions, discharges, and transfers in a program database. Provide administrative support to Homeless Program/SWS Leadership for CARF accreditation readiness. Primary responsibilities will include data collection and collation, creating esthetic visual aids including graphs generated from data in Microsoft Excel, creating and running reports, creating documents, tracking readiness benchmarks, and serving as the scribe for accreditation visits to homeless programs. Act as liaison between patients and medical center staff. Interacts and checks in visitors to the social work area and accepts telephone calls from: patients, caregivers, Social Work staff in the field, other VA staff, and community agency staff. Receives schedules, refers, and contacts members of the program and Medical Center staff. Provide general clerical public contact support services such as answering the telephone, referring visitors, or providing information. Provide general calendar maintenance and clerical services. Schedules and arranges meetings or small conferences as requested and provides for administrative details. Process incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication. Performs the following types of duties: edits letters, composes letters and reports, reviews correspondence for accuracy and completeness, and develops standard or form letters, and replies to inquiries Act as a Social Work Program liaison to other Medical Center programs such as Mental Health, Medicine, Primary Care, Safety, Human Resources and others. Maintains Community Nursing Home statistics and prepares periodic reports for Medical Center programs and standing committees. Work Schedule: Monday - Friday; 8:00 AM - 4:30 PM Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/23/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 05 position you must have served 52 weeks at the GS 04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or educationas described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS 04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Performing office automation at or above the established minimum proficiency level; Performs work from written material and using word processing software and equipment; Integrates several types of software to generate specific working documents and forms such as spreadsheet, database, word processing, desktop publishing, graphics and other similar products; Selects appropriate system, application, and format; Provides general clerical public contact support services such as answering the telephone, referring visitors, or providing information; Provides general calendar maintenance and clerical services. Schedules and arranges meetings or small conferences as requested and provides for administrative details; assisting staff with arranging consultation, referrals, scheduling and cancelling meetings. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have completed a full 4-year course of study leading to a bachelor's degree. This education must have been obtained at an accredited college or university. NOTE: Transcripts (unofficial or official) must be submitted with your application materials. Education cannot be credited without documentation.. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond he first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Work is sedentary in nature. Duties regularly involve some walking, stooping, bending, and carrying of light items, such as files, computer printouts, etc. Occasional travel is required to provide support at conferences, workgroups, programs or meetings. Normal safety precautions are utilized as appropriate for office, hospital, and warehouse settings.
