The Transportation Assistant - Transportation Coordinator serves as the primary contact to Veterans for transportation needs. The incumbent works with the Veteran Transportation Service (VTS) Supervisory Mobility Manager for transportation workload forecasting, scheduling design, procedure development, and quality improvement implementation, modification of processes, evaluation, and ongoing operational flow of the Veteran Transportation Services program.
Duties
The coordination of transportation function is multi-faceted and diverse. The three major areas of responsibility are: (1) Scheduling, Data Collection, & Tracking Support; (2) Consult Management responsibilities; (3) Program Support responsibilities. The incumbent must have knowledge of clinical services, related software, and programs as they relate to clinical computing and office automation.
Major duties include but are not limited to:
Provides technical and management guidance necessary to achieve the optimum use of service resources.
Exercises a high degree of coordinating ability, tact. poise, and diplomacy in dealing with both clinical and administrative staff within the healthcare system and public.
Collaborates workload forecasting, scheduling design, procedure development, and quality improvement implementation, modification of processes, evaluation and ongoing operational flow.
Serves as liaison to facilitate physicians, nursing personnel, social workers, residents and interns along with the Patient Representative/ Advocate.
Meets with other service lines to help facilitate programs and processing of service workload.
Reviews workload types in Veteran outpatient clinic visits, surgical admissions.
Interacts with Veterans and their families and other transportation providers to resolve transportation problems.
Informs the staff on the processes for scheduling, standard preparations and scheduling arrangements for procedures.
Follows applicable regulations and instructions regarding access to computerized files, release of access codes as set out in the computer access agreement.
Communicates patient flow, data capture, clinical computing, and performance measure problems with other medical center personnel.
Protects printed and electronic files containing sensitive data in accordance with the provisions of the Privacy Act of 1974 and other applicable laws, federal regulations, VA
statutes and policy, and VHA policy.
Maintains automated system of program-specific data to track items such as service project milestones, progress reports, clinic treads, program trends. performance measures, compliance strategies, etc.
Determines appropriate alternative guidelines or develops new methods and work with unit staff, nursing and other disciplines to ensure these needs are met for our Veteran customer.
Plans consult processing flow to ensure veterans receive consultation services in a timely
manner.
Communicates and treats customers (veterans, their representative, visitors, and all VA staff) in a courteous, tactful, and respectful manner.
Demonstrates the ability to work effectively with others and provides the customer with consistent information according to established policies and procedures.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/24/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
In addition to meeting the time-in-grade requirement, applicants must also meet the following:
Specialized Experience: Applicants must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Specialized experience is defined as: collecting, compiling, and tracking data and statistical information. Maintaining automated systems in order to track and review a variety of data, reports, trends, etc.; Demonstrated use of computer system software (Excel, Word, Power Point, etc.); Demonstrated ability to communicate effectively both orally and in writing; Create presentations and speak/present to groups of people; Produce written instructions and a variety of correspondence. NOTE: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: Incumbent will be exposed to stressful working situations that will require a mature attitude and collective reasoning to overcome. The incumbent is subject to a great deal of stress because of the high volume of work, the need for accuracy, frequency of interruptions and ever changing demands due to program changes.
