The position functions as a Management & Program Assistant (Analysis/Office Automation) within the Chief of Staff Service for the Orlando VA Medical Center. Performs administrative functions that include assisting with human resource, budget, finance, space planning, property management, and supply and general administration management. Serves as timekeeper, managing calendars, scheduling, coordinating meetings for ad hoc and standing meetings, and providing back up coverage to service.
Duties
Include but are not limited to:
Determines pertinent issues and collects relevant information from a variety of sources
Receiving and screening callers and visitors, gathering, compiling, assembling and typing
information from various sources.
Applies administrative policies as well as maintenance of various systems.
Drafts correspondence, recommendations, reports, policies and memoranda related to management and administrative programs and issues.
Recording, transcribing and preparing meeting minutes and processing all paperwork required for new employees.
Prepares letters, memorandums, education requests, key requests, space requests, etc.
Assisting the AO in maintaining suspense for all reports, action items, congressional inquiries and other requested actions of the service.
Initiates meeting agenda items based on Action Tracking Log.
Scheduling and arranging appointments and meetings.
Maintaining calendar of meetings and appointments.
Develops detailed procedures and guidelines to supplement established administrative regulations or program guidance
Performs work in support of general management and/or program analysis functions.
Uses correct format, spelling and grammar.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/12/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.
For a GS-07 position you must have served 52 weeks at the GS-06.
The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Minimum Qualification Requirement:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Drafts correspondence, recommendations, reports, policies and memoranda related to management and administrative programs and issues. Scheduling and arranging appointments and meetings. Maintaining calendar of meetings and appointments. Prepares letters, memorandums, education requests, key requests, space requests, etc. Initiates meeting agenda items based on Action Tracking Log. Accomplishing departmental tasks through data mining, reporting and analysis. Collecting, compilation and/or tracking of data and statistical information for workload requirements for quarterly reports to prepare daily, weekly, monthly reports. Participates, documents and tracks RPIW initiatives for service.

Physical Requirements: The work involves duties, which are performed in an office setting where demands range from sedentary to periods which also require considerable walking throughout the hospital or standing to observe and study work operations. The work involves extensive use of computer and keyboard.
