The incumbent serves as the Lead Program Support Assistant (OA) for the Member Services section under the supervision of the Supervisory Medical Management Specialist of the Business Office. The position will be located at the Nashville Campus of the Tennessee Valley Healthcare System located in Murfreesboro and Nashville, Tennessee.
Duties
Major duties include but are not limited to:
Provide training and serve as the lead to the Health Benefits Assistants, Mail Room, Patient Funds, Decedent Affairs and Reproduction/Publications.
Develop training curriculum, assess employee competency, and re-educate employees.
Implement new initiatives and ensures that training and education are delivered to employees in a timely manner.
Review, utilize, and analyze a variety of VA generated reports.
Maintain competency folders for all employees.
Provide general administrative support.
Distribute and balance the workload among employees in accordance with established workflow.
Keep in touch with status and progress of work, and make day-to-day adjustments in accordance with established priorities.
Estimate and report on expected time of completion of work and maintains records of work accomplishments and time expended and prepares production reports as requested.
Instruct employees in specific tasks and job techniques and make available written instructions, reference materials and supplies.
Check on work in progress or spot check work not requiring review.
Report to supervisor on performance, progress and training needs of employees and on behavior problems.
Perform other duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/12/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 6 position you must have served 52 weeks at the GS 5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Examples of appropriate SF-50s include:
Within grade increases at the highest grade held; or
Promotions with an effective date more than one year old; or
SF-50s at the highest grade held with an effective date more than one year old.
In addition to meeting the time-in-grade requirement, applicants, must also have the following specialized experience:
Specialized Experience: Carefully read the following descriptions of experience and education. Applicants must have one (1) year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Specialized experience is defined as: Preparing, editing, and maintaining all official correspondence requiring supervisor signature or approval; Completion of and reviewing reports; Scheduling and/or coordination of all service meetings, preparing meeting agenda and minutes; Directing phone calls and inquiries, coping/faxing; maintaining files and records; Researching various publications, manuals, handbooks and policies. Physical Requirements: Position requires some walking, standing, bending and prolonged periods of sitting, as well as emotional stability to handle difficult problem solving and objectivity. Administrative tasks are primarily sedentary. Incumbent may need to meet with veterans and families who may be emotional, confused, or overwhelmed due to circumstances encountered. Must remain compassionate and poised at all times. Occasional travel will be required.
