This position is located in the Department of Emergency Medicine, Division of Clinical Services, Northern Navajo Medical Center, Shiprock Service Unit, within Indian Health Services. This position serves as secretary, responsible for performing a variety of clerical and administrative duties that contribute to the management of the department as well as contribute to hospital-wide wellness and resiliency efforts for staff. Incumbent reports directly to the Supervisory Physician.
Duties
Serves as timekeeper for ED medical staff and assigned personnel. Keeps time records for contractors and submits records for payment.
Ensures requisition and purchase orders for contractors are completed in an accurate and timely manner.
Handles personal matters for a large number of temporary paid and volunteer personnel, including housing and meal arrangements, identification badges, and parking permits. Assists in recruitment and interview processes.
Responsible for travel arrangement.
Types and composes complex correspondence.
Position functions as staff assistant to Chief of Emergency Medicine, Deputy Chief of Emergency Medicine and SuperTrack Supervisor.
Receives calls and records data on complaints.
Maintains calendar and schedules appointments.
Evaluates, organizes, and implements office procedures.
Orders and stocks office and other supplies.
Develops work schedules for civil service, commissioned officer and other medical staff assigned to the Emergency Department.
Oversees scheduling with NNMC staff psychologist services.
Cross-covers secretarial duties for the Clinical Director and Ambulatory Care Director.
May be called to the hospital during internal or external disasters to assist with medical records, recording, communications, direction of patients, and interaction with other involved agencies.
Qualifications

BASIC REQUIREMENT(S):
GS-07: 1 year of specialized experience equivalent to at least a GS-06 grade level
In addition to the Basic Requirements, you must also meet the Minimum Qualifications stated below.
MINIMUM QUALIFICATIONS:
Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Examples include: Ensuring all staff members of the organizational units receive up-to-date guidance on office procedures and administrative requirements. Typing in final form a variety of handwritten or draft materials including memoranda, reports, tabulations, letters, minutes of meetings and all other correspondence using various computer software and system applications. Arranging meetings and conferences including space, time, attendees, agenda and background material. Maintaining reference materials on all phases of operation, various administrative and procedural manuals, and correspondence files. Keeping supervisor and staff advised on new or changed regulations, bulletins, or circulars and policies, and sends copies. Making travel and training arrangements for supervisor and staff employees. Tracking attendance reports, posts overtime, compensatory time and annual and/or sick leave. Providing advice to personnel on the Supervisor's policies, directives and instructions. Reviewing materials requiring supervisor's signature, approval or concurrence, for procedural and grammatical accuracy, confirmation with general policy and factual correctness.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
